Manage your manual shipping rates

How to create and manage your own shipping rates

Updated over 3 months ago

Note: You will be responsible for managing your shipping – watersorted cannot arrange shipping for your products. You can either set your shipping rates manually (covered in this article) or activate a third-party service plugin.

Important: If you want to use manual shipping rates the toggle must be selected to on in Shop/Manage Shop/General tab.

When managing your shipping rates, you can either

  • edit the existing Order Level Shipping profile to ship orders; or

  • create Item Level Shipping profiles to ship individual products.

Navigate to the Seller dashboard. From the LH menu, select Shipping>Shipping Profiles.

  • To edit the Order Level profile, click the pencil icon located on the RHS of the profile.

  • To create a new Item Level profile, click the button in the top RH corner.

Note: Editing/adding profiles only applies changes to profiles for your account.

Important: The following instructions apply to both editing the existing Order Level profile or a new Item Level profile.

Configuring the Shipping Profiles form

Add a reference to the name if it needs to be linked to a specific product so you can easily find it when linking shipping profiles to products.

Add Products section

Order Level Shipping profile

  • If you haven't added products yet, they will automatically be linked to this profile when added (if they have shipping set as the Fulfillment Method).

  • If you have added products that require shipping and haven't created any other custom profiles, you will see those products listed here already.

Item Level Shipping profile:

  • If you haven't added products yet, there will be no products to add to this profile.

  • If you want to reassign products to this profile from a different profile, you can add them here. You need to type the name of the product in the search field to move it to the Item Level profile.

Note: Products that are reassigned to a different profile will automatically be removed from the previous profile.

Shipping To section

Warning: There is a default Rest of World zone already added. This zone does not have shipping conditions or rates added. Do not edit or delete this zone, it has been created for system performance.

Additional zones can be added to create as many as you need. Zones have to be added before you can create custom shipping rates and conditions.

To add a new zone, click the button in the top RH corner.

Configuring the Zone Setup form

Watersorted currently only accommodates New Zealand sellers and buyers. The platform maintains a list of all states in New Zealand. You can create and name as many zones as you want by selecting the states you want to include in each zone.

Select country – New Zealand is the only country available to select. Select the states you want to include in your zone.

Important: Once you have selected a state for a zone, this state cannot be selected for another zone.

  • - save current changes

  • - reset to the last saved changes

If you need to make changes or delete a zone, the icons shown to the RHS of each zone can be used for:

  • icon - edit the existing Zone

  • icon - delete the existing Zone

Adding rates

Warning: For each zone you create, there must be a rate that costs $0.00 and has no conditions - this is required for system performance. You will also need to create additional shipping rates with costs/conditions applied for all zones you create otherwise the $0.00 rate will get applied to orders that require shipping.

Once you have created your zones, you can add rates and conditions. For example, shipping to states in the North Island, for an order that weighs between 0-10kg could cost $30.

Click theicon alongside the zone name to which you want to add the rates and conditions. This opens a Shipping rates setup form.

Shipping rates setup form

You can only set conditions based on order weight and price. The rate name can reflect those conditions e.g. 0-10kg.

Important: When entering the shipping rate Cost, please include GST (if applicable) as shipping costs do not have sales tax applied at checkout.

Adding conditions

Click the button

The following conditions are available:

  1. Item Weight (kg) [Minimum] [Maximum]

  2. Item Price ($) [Minimum] [Maximum]

Tip: If applying a minimum weight/price, it cannot be 0. Enter 0.001 as a minimum.

  • - save current changes

  • - reset to the last saved changes

If you need to make changes or delete a rate name, the icons shown to the RHS of each rate can be used for:

  • icon - edit the existing Zone

  • icon - delete the existing Zone

How shipping profiles are applied to orders

When a buyer creates an account, they will provide their address details including the state they live in.

When they purchase a product, the shipping profile and shipping rate for the zone will determine the cost of shipping. If the shipping rate has a weight and/or price condition, then the rate for the total item/order weight/price will be applied.

For example, you have selected to apply to products A, B & C:

  • Order level shipping profile

  • Created a zone for delivery to the Auckland region

  • Created rate #1 for this zone for an order weighing between 0.01-10kg for $20

  • Created rate #2 for this zone for an order weighing between 10.01-50kg for $50.

A buyer located in the Auckland region purchases products A & B with a combined weight of 9.5kg. The shipping rate at the checkout is automatically applied based on

  • Shipping profile for products A & B

  • Shipping zone

  • Shipping weight

So, $20 is added at the checkout for shipping.

Another buyer from the same location purchases products A, B & C with a combined weight of 30kg. A shipping rate of $50 is applied at checkout to this order.

Note: These shipping rates are not based on actual shipping values.
