Easily add invoices to your units by clicking on them from the Inventory page. Anyone with dealership access to the Inventory page can view them, though only certain roles can upload or delete them.
Before You Start
Role & Permissions: All users can view a listing's invoices. Inventory Managers, Sales Managers and Admins can upload invoices, and can delete them until Work Truck Solutions processes them. After that, nobody can delete them. See User Roles and What Each Can Do.
Uploading an Invoice
Open the Inventory page.
Search for the vehicle you want to add an invoice to (see How to Search and Filter Your Inventory).
Click the VIN to open the listing overview panel (see What's in the Listing Overview Panel).
Click Choose File to open a file browser, or drag and drop a file directly into the Files panel.
Note: We aim to process invoices within 24 hours of upload. During periods of particularly high volume, processing may take up to three business days. Once an invoice is processed, you'll see the relevant details both in the WTS Portal and on your storefront.
View and Manage Invoices
Open the Inventory page.
Search for the vehicle whose invoice you want to view.
Click any file link in the Files section to open the file.
Invoices that haven't finished processing show a trash can icon and can be deleted.
Once an invoice has been processed, it can no longer be deleted by dealership users. To change or correct it, contact support.
Viewing Historical Invoices
Open the Inventory page.
Click Filters and turn on the Sold inventory toggle to include past inventory that's no longer on your lot (see How to Search and Filter Your Inventory).
Search for the vehicle by VIN, stock number, or year/make/model/trim/body type.
Click the vehicle and review its invoice.
Good to Know
You can also email invoices to us instead of uploading them. See How to Email a Body Invoice.
Uploading your body invoices through the portal streamlines the process, ensuring that your inventory is always up-to-date and accurate. By staying on top of your invoice uploads, you can help maintain the integrity of your vehicle listings, keeping your commercial buyers informed and confident in the vehicles you're offering.
If you don't see the Files section on a listing, contact support for assistance.
