🧭 Before You Start (Important)
Requires Business Administrator access
Division IDs control Group (Site) access for users
Changes apply immediately to live user accounts
Mandatory Rule: If a user is removed from a Group (Site) or changes must apply immediately, you must force log out the user to ensure the new Group context takes effect
🎯 Why This Matters
Group (Site) access determines:
Which sites users can access
Which workflows and assignments they see
How supervisor relationships and reporting function
Bulk updating Division IDs allows you to manage site access efficiently, but incorrect updates can disrupt access, hierarchy, or reporting.
⏱️ When to Do This
Adding users to one or more Groups (Sites)
Removing users from Groups they no longer need access to
Updating site access during reorganization
Correcting Group access issues at scale
📝 How Supervisor Assignments Impact Site Changes
Supervisor assignments follow this rule:
A Supervisor must belong to at least one Group that their assigned user belongs to.
If a Supervisor is removed from all Groups shared with their direct reports, updates will fail.
Admin Portal error you may see:
A supervisor must be from the same group as the user
Admin Portal error message indicating a supervisor–group mismatch (A supervisor must be from the same group as the user) returned when a Supervisor no longer shares a Group with their assigned user.

Updates may partially fail
If you see the error
one_or_more_users_are_supervisors, Supervisor status must be removed before retrying

If Group access is removed, force logout is required to clear stale session context
