🧭 Before You Start (Important)

  • Requires Business Administrator access

  • Division IDs control Group (Site) access for users

  • Changes apply immediately to live user accounts

  • Mandatory Rule: If a user is removed from a Group (Site) or changes must apply immediately, you must force log out the user to ensure the new Group context takes effect

🎯 Why This Matters

Group (Site) access determines:

  • Which sites users can access

  • Which workflows and assignments they see

  • How supervisor relationships and reporting function

Bulk updating Division IDs allows you to manage site access efficiently, but incorrect updates can disrupt access, hierarchy, or reporting.

⏱️ When to Do This

  • Adding users to one or more Groups (Sites)

  • Removing users from Groups they no longer need access to

  • Updating site access during reorganization

  • Correcting Group access issues at scale

📝 How Supervisor Assignments Impact Site Changes

Supervisor assignments follow this rule:

A Supervisor must belong to at least one Group that their assigned user belongs to.

If a Supervisor is removed from all Groups shared with their direct reports, updates will fail.

Admin Portal error you may see:

A supervisor must be from the same group as the user

Admin Portal error message indicating a supervisor–group mismatch (A supervisor must be from the same group as the user) returned when a Supervisor no longer shares a Group with their assigned user.

🛠️ Steps: Bulk Update Division IDs

  1. Open User Management → Bulk Update Division IDs in the ANVL Admin Portal.

  2. Filter or search to locate the users.

  3. Select the checkbox next to each user to update.

  4. Select Bulk Update Group IDs.

  5. Enter the Group ID(s).

  6. Build the Group ID List.

    1. In the Group IDs field, enter one or more Group (Site) IDs

    2. Multiple IDs must be comma-delimited

    3. Select:

      1. Add → to add those IDs to the Selected Group IDs list

      2. Remove → to remove those IDs from the Selected Group IDs list

At this point, no user access has changed yet. You are only editing the list.

  7. Once the Selected Division IDs list is correct, choose the action:

    • Add Group IDs → adds all IDs in the list to the selected users

    • Remove Group IDs → removes all IDs in the list from the selected users

  8. Wait for the updates to process. You will see a small window for each user pop up in the right-hand corner. Wait for the pop-ups to stop.

  9. Verify changes were successful in the Successful Submissions table.
Follow the steps in Verify User Update Results & Resolve Errors

  10. Click Refresh or refresh the browser page.

  11. Confirm changes were successful.

  12. Force log out affected users if Group access was removed or changes must apply immediately.

✅ What You Should See

  • Updated Group (Site) access reflected for successful users

  • Users removed from Groups no longer see those sites after re-login

⚠️ Watch Out For…

  • Removing a Division ID removes the user from that Group (Site)

  • Supervisors must belong to all Groups their direct reports belong to

  • Updates may partially fail

  • If you see the error one_or_more_users_are_supervisors, Supervisor status must be removed before retrying

👉 See Remove Supervisor Status (Business Administrator).

  • If Group access is removed, force logout is required to clear stale session context

🔑 Key Takeaways

  • Division IDs control site-level access

  • Bulk updates apply immediately but may partially fail

  • Supervisor and Group alignment rules are strictly enforced

  • Force logout is required when Group access changes

  • Always review results before moving on
