The Appointments tab

Appointments now have their own tab in the Calendar, between Classes and Series. Each row represents an individual or recurring appointment, grouped by day, in the same way as the Classes tab. The columns display Time, Name, Teacher, Client, Pass, Establishment and Type.

The tab only appears when it's actionable. If your studio has no appointments configured, or if your appointment types have no availability, you'll see the Classes view without the Appointments tab.

Appointment status and establishment at a glance

An Unpaid tag appears next to the client's name when a payment is pending. The Pass column shows the pass used, or No pass if none is linked. A recurrence icon and tag flag appointments that repeat. Cancelled appointments permanently keep a strikethrough and an × marker.

The Establishment column displays one of three states:

  • An establishment name — the studio establishment linked to the appointment. Long names are truncated; if there are several, you'll see the first one followed by "+N".

  • At home — the coach travels to the client's address.

  • No establishment — the appointment has no fixed establishment (outdoor, online or corporate sessions), or an establishment simply hasn't been set.

⚠️ "No establishment" covers both a service that genuinely has no establishment and a service that's missing one by mistake — both cases currently look the same.

Acting on an appointment

Select the three-dot menu on any row to access quick actions:

  • Reschedule — opens the rescheduling window.

  • Change pass — lets you choose a different pass the client already holds, without cancelling or booking again.

  • Change teacher — search for and select a replacement teacher.

  • Cancel appointment — opens the cancellation window.

Filters, search and columns

Filters, search and display settings are specific to the Appointments tab and are kept when you switch tabs — only the date range is shared across the three tabs.

  • Filters specific to appointments: Appointment name, Client, Pass.

  • Shared with Classes: Establishment, Teacher.

  • Choose Daily, Weekly or Monthly view, turn the display of cancelled appointments on or off, and customise columns from Display.

What hasn't changed

Creating an appointment is still done from the Schedule page — it's not yet possible to create an appointment from the Calendar.

A detail panel showing the full appointment and client context (pass, credits, notes, billing) is in the works but not yet available. For now, use the list and the quick actions specific to each row.

FAQ

Can I create an appointment from the Calendar?
Not yet. Creation is still done from the Schedule page.

An appointment was booked with the wrong pass — do I need to cancel it and book it again?
No. Open the three-dot menu and select Change pass to choose a different pass the client already holds.

Why can't I see the Appointments tab?
Tabs only appear when they're actionable. If your studio has no appointments configured, or if your appointment types have no availability, only the Classes view is shown.

Are my filters and search kept when I switch between tabs?
No — filters, search and display settings are saved per tab. Only the date is shared across the three tabs.
