A template controls how your rewards work and what recipients see. It sets the reward value, region, available reward options, and email messaging. Templates are required when sending rewards through the Giftbit app or Zapier.
If you are sending by API, you can make use of templates as well but is not required. For more information, check out our API article to get started there.
The steps for setting up a template are split into the below sections:
Adding template details
To get started with creating a new template, click "Template" on the left navigation and then "New Template" in the top right.
Then fill in the basic information recipients will see.
Template name
Choose a clear name that helps you identify the purpose, value, and region.
Example: USD – $25 – Employee rewardEmail subject
This appears in the recipient’s inbox. A clear subject helps recipients recognize the reward.Company name and logo
Upload your logo and confirm the company name shown in the email. Information on logo specifications can be found here.Message body
Write a short message explaining why the recipient is receiving the reward.
Using{{recipient_firstname}}will include their first name if that information is included with the contact.
Keep your message and subject line short and direct so recipients know why they are receiving the reward right away.
💡For further personalization, you can make use of emojis in the email subject line, and message body.
Setting reward value, region and options
Giftbit's available brands and regions are always expanding, so it is worth reviewing reward options regularly, especially you are providing a curated selection. You can check here to explore what brands are available across our supported regions.
Choose reward value, region and claim by period
Next we will set up the value of the rewards and the region we are sending to for the template.
Click the $ box to open the reward set up section.
You can also click the bottom section of the template.
Set the reward value.
This value should be set for the currency you are sending in. For example if sending a 50 Euro reward, make sure 50 is in the value box.
Choose the region where the reward can be redeemed.
Decide if the reward is Default or Promotional
Default rewards
Can be claimed at any time after sending and are not able to be cancelled.Promotional rewards
Must be claimed within a set timeframe (1–365 days).
Unclaimed promotional rewards return partial credit to your account.
The above example shows a $100 reward for the USA that will have a 90 day claim period from the day it is sent.
💡If you are sending rewards to multiple countries that use the same currency (for example, Euros), you need a separate template for each country. Rewards can be region locked to their specific country/region.
Selecting Reward Options
The final part to set up is picking what reward options recipients can choose from:
Full catalog
Provides access to the full Giftbit catalog at the selected value. Not all brands or values may be included. Rewards with an additional fee (Physical Visa Incentive card, Instant Pay, etc) and 1-800 brands are excluded from full catalog.Customized catalog
Lets you select specific reward options. Great for creating smaller curated list of rewards to pick from. If a brand is not availble and greyed out at a certain value, hover over it to see the values available.
With your template fully set up, you can now save the template for later, send yourself a test reward or get right to sending rewards. If a reward is missing a completed section it will be saved to drafts to complete at a later time.
Test Email
Before sending live rewards, you can preview the template by sending a test reward.
Open the template.
Click the three dots in the top right.
Select Send test email.
Confirm the email address (your account email is selected by default).
Click Send.
Once done, you will receive an email with a test reward allowing you to see what the template and email look like, as well as the basics of the redemption experience.
💡Test emails are not real rewards and do not use account funds. Avoid sending test emails to external recipients.
