How to add people to a class activation

Managers can add learners, facilitators and coaches to a course, to control exactly who has access to each class activation

Manage users can add people to class activations either when activating a new class, or editing an existing class activation.

Note: main facilitators can also add people to classes. Check out our article on how they can use the Class console to do this.

How to add individual people to a class activation

  1. Open the class activation by either creating a new activation, or editing an existing activation.

  2. Select the Access tab.

  3. First choose the role type (e.g. learner, facilitator, coach) and select Add [role] to course.

  4. Enter their email address and Check to see if they already have an account in your iQualify environment. For a new account, you'll need to enter their first and last name.

  5. Select Add to course.

Once you activate or update the class, everyone added to the class will get an invitation email.

How to bulk add people to a class activation 

Use our import option to add multiple people at once.

  1. Select the relevant role type (e.g. learner, facilitator, coach).

  2. Select Import file.

  3. Download the provided template.

  4. Open the template on your device, add the first/last names and email addresses of the people you want to add and save the file.

  5. Then head back to iQualify and Upload file.

Note: The Person ID and Read-only fields are optional and can be updated after uploading by. selecting the person's name.

How to copy people from another class

Select Copy from another course to add all learners, facilitators, or coaches from another class. You can copy people from past, upcoming, or current classes.

How to add individual opening dates for learners

When adding learners you may see an extra option to set an individual learner opening date. Use this to let the learner have their own specific starting date. Their due dates and end date will then flow through from the relative dates that have been set for the class.

If you want the learner to have the same dates as the rest of the class then leave the date blank.

If you want to set learner specific dates, but do not see this option you need to toggle Use relative dates to Yes in the Dates tab.

How to make a course Read only

You can make a class activation Read Only which allows learners to access course content, but not complete tasks or contribute to social features.

To enable Read Only, when editing a class activation, go to the Access tab and toggle Read only to Yes.

What do the account statuses mean?

When you add someone to a class, their account will show a status. Here's what the statuses mean.

  • People who already have an iQualify account in your environment will show as Added to course once you activate/update.

  • People who don't already have an iQualify account will show as: Account creation pending. Then after they create an account and log in: ​Invite accepted.

  • When you resend an email invite to someone, the status will show as: ​Invite sent. Then after they reset their password and log in again: Invite accepted.
