Conducting a development conversation as a coach

In this article, we show how you, as a coach, can conduct a development conversation with the employees in your team.

Where to find the development conversation

To get started with the development conversation, go to the following places in Learned:

  • The Home screen: your tasks are available here.

  • The Development page: select Conversations and go to the tab 'About someone else'. Here are all the conversations that you, as a coach, have with your team members.

  • The Team environment: here you can click on the name of the employee with whom you should have the conversation. Go to the tab 'Conversations' to find all development conversation between you and employee.

Filling out the conversation form

After you have published the conversation, all parties involved can get to work. As a coach, you are responsible for giving input, or conducting the conversation, or both. Depending on the type of conversation set, get started with the following:

When writing your input, you will see various questions from the conversation form. As a coach, you have different tabs for each question in which you can also see how the employee has answered the question himself and how other colleagues and coaches have assessed the employee.

Note: if the Learned module 'Real-time feedback' is activated, you will also see an icon on the right of the screen to expand a column with all feedback messages that have been exchanged between you and the employee within a certain period. You can also use these insights when writing your input.

Both the employee's own input and the input that others have given him/her can be viewed in the 'Report' tab. With the 'Options' button, you can download the conversation report to PDF.

Optional: calibrating my evaluation

It is possible in Learned to calibrate your completed conversation form and associated scores. This is an option that must be activated by the Admin when creating the conversation template. When saving your conversation form, you will see the options below. Each option shows to whom the form will be visible. Calibration means that your evaluation will only be visible to other coaches and Admins and not yet to the employee. This way you can discuss the scores with each other before you share them with the employee.

Note: When the scores have been calibrated, it is up to you to set the status of your completed conversation form to 'Share'.

Discussing and signing the conversation form

Apart from the option of having to fill in a conversation form as a coach, it may also be the intention that you plan and conduct a conversation with the employee about the report. It can also be set up so that you do not have to fill in the conversation form, but that you are only responsible for conducting the conversation. Furthermore, the setting for signing the conversation report can also be added to the conversation. To conduct a conversation as a coach, go to one of the following places:

  1. The conversation is on your home screen. Here you can immediately plan a date.

  2. The conversation is on the Development page - Conversations.

  3. The conversation is in the 'Team' environment in the 'Conversations' tab.

With the bottom task, you can immediately schedule a date for the conversation. This date will be made clear to all parties and, if activated, will be placed directly in the calendar.

Note: If several coaches have been assigned to conduct the conversation, the profile picture of the other coaches will also be included with that task. They all have the option to schedule a date and the ability to overwrite each other's dates.

Furthermore, all coaches who can conduct the conversation + the employee have the option to write down next steps for either coach or employee, keep conversation notes (both shared notes and private notes) and the option to upload attachments with the column on the right.

If the Admin has added this option to the conversation template, you as a coach must digitally sign the completed conversation report together with your employee. You will find tasks for this in the conversation and it is also possible to do this from the conversation report. The coach must first sign the report and then the task for the employee becomes active. Depending on the settings by the Admin, the employee must sign for having seen the report, sign for approval, or just sign.

Note: after you have signed the conversation report, all tasks are blocked and nothing can be changed. If you want to undo this action you can delete the signatures. The conversation becomes active again and needs to be signed again by all parties.
