The success of any MICE event depends on thorough planning. Organising an event like this entails a number of responsibilities (booking accommodation, budgeting, transport, guest coordination, activities, etc.) to ensure the smooth running of the event.

This whole process is simplified and much easier to manage with MOGU's comprehensive App. The App offers attendees of a MICE event a common space to interact with the rest of the guests and access all the necessary information.

1. Create the event

Create the event website with a few clicks. All personalised with your brand or the client's brand.

Here is a link to another article from our Help Center that helps you to create it step by step. All you have to do is fill in some basic information:

  • Title: customise it with the name of your company.

  • Photo: you can use any photo from the internal gallery, upload one of your own or paste the URL of the image you are interested in.

  • Duration and dates

  • Activities to be carried out

Once you fill in these details you will go to the next section to add a description (optional), the services included in the event, the itinerary, etc..:

2. Create the form

Add a registration form to ask attendees for all the necessary information and collect it in a very easy way.

Typical questions related to MICE events:

  • Indicate if you have any allergies

  • Do you need a transfer?

  • Please select the menu for the special gala (meat or fish).

  • Are you coming with a partner? Indicate his/her name and surname

  • Which department do you belong to?

3. Charge for the trip (optional)

If you need to make a payment, you can send all event attendees a payment notification through the App, so they can make the payment from their mobile in real time.

4. Share the access code to the App

Accessing the app is very simple: the attendee only has to download it from the Apple Store or Google Play. A QR code to access the app is available for each event created. We give you 2 tips to share it in this type of event:

  • You can show the QR code every time an attendee registers.

  • Or another option is to print the QR code on the batches that attendees pick up on the first day at the reception.

With these simple steps everyone will have the trip information available on their mobile devices.

5. Upload all documentation in the App

Attendees will be able to easily consult the event programme and any other relevant document that the organiser uploads to the App (gala menu, team distribution, sponsor information, complementary material, etc.).

Whether they have an internet connection or are offline, they will be able to access this section and have all the event documentation at their disposal in the App.

6. Communicate effectively

Sending notifications will help you to be in contact with all the attendees of the event in an agile and immediate way. There are different types, depending on the objective, and it is possible to combine them as needed:

  • General

  • Rating

  • Alert

  • Location

  • Video

  • Survey

These notifications can be scheduled and you can also filter who receives them thanks to tags: for example, if the marketing department of a company has a conference at 10 a.m., you can add the tag #meeting to the members of that department. This way you can send only them the location of the room for the meeting, as well as a reminder of the planned time or the necessary material that they should not forget.

7. Create community

In the app, attendees have a gallery where they can upload photos and videos of the trip/congress/convention, thus helping to create a community among the participants of each event.

Through the app they can be in direct contact not only with the event organiser, but also with the rest of the attendees through the group chat.
