Overview
Why this matters: When a customer requests changes to a proposal or project, your team needs to act fast — updating pricing, notifying crew leads, or kicking off new workflows. Instead of manually tracking every change order, you can set up automation triggers that fire the moment a change order is created or a contract is signed. This keeps your pipeline moving and nothing slips through the cracks.
A change order is a formal request to modify the original scope of work on a proposal or project (for example, adding extra panels or upgrading an inverter). SubcontractorHub now lets you trigger automations based on these change-order events.
Prerequisites
Admin or Manager role in SubcontractorHub
At least one active Proposal or Project module with job types configured
Basic familiarity with the Automations tab (see Set Up Automations to Save Hours on Repetitive Work)
Step-by-Step Instructions
Part A — Create or Open an Automation
From the left menu, click Manage Database → Database → Additional → Automations.
Click Add to create a brand-new automation — or click Edit on an existing one you want to update.
Type a clear title (e.g., "Notify PM When Change Order Signed") and click Next.
Part B — Select the Module and Job Type
Choose the module where this automation should run — Project or Proposal — then click Next.
Select the applicable job type (e.g., Solar, Roofing, HVAC).
Part C — Set the Change Order Trigger
Click Add Start Trigger(s).
From the trigger list, select When Change Order.
Choose when the trigger should fire: - Completed — runs when a change order is finalized. - Contract Signed — runs when the customer signs the change-order contract.
Continue building your automation flow (add actions, conditions, etc.).
Part D — Save and Launch
Click Save to store your automation.
When you're ready to go live, click Launch in the upper-right corner.

Scenario: SunPeak Solar uses change orders when homeowners decide to add battery storage after the initial proposal.
They create an automation on the Project module with a When Change Order → Contract Signed trigger. The automation: 1. Sends an email to the operations manager with the updated scope. 2. Updates the project stage to "Revised Design Needed." 3. Creates a task for the design team to update the system layout.
Result: The team no longer has to manually track change-order signatures — everything flows automatically within minutes.
