Change Order Walkthrough

Why This Matters

Change orders happen on almost every project. This walkthrough shows you exactly how to raise a change order in SubcontractorHub, what happens behind the scenes, and what to do next.

Points to Remember

  • Once you raise a change order request, a new proposal is created in the system with all the details of the current proposal.

  • Once the proposal is created, all the steps such as proposal signing and contract signing need to be followed again (refer to the previous articles for those steps).

Step-by-Step Instructions

Step 1 — Open the Project

Click on the Projects menu from the navigation panel and go to the details of the project you need to modify.

Step 2 — Raise the Change Order

Click on the Change Order button (it may be inside the +More dropdown). A confirmation message will pop up — click Yes to proceed.

Step 3 — Complete the New Proposal

After you confirm the change order, a new proposal is automatically created and the project stage shifts from Contract Signed back to Presented. You will be redirected to the new proposal where you can make your changes.

From here, follow the normal proposal workflow:

  • Make the required changes to the cloned proposal.

  • Get the proposal signed again.

  • Get the contract signed again.

When this new proposal reaches the final Contract Signed stage, the platform does not create a new project — it updates the existing project data in place.

Pro Tips

  • 💡 Stay on top of things: Check your project dashboard at the start of each day to see what needs attention after a change order.

  • 📋 Document the reason: Always note why the change order was raised so you have a clear trail if questions come up later.

  • 🔄 Automate when possible: Pair change orders with automations to streamline follow-up tasks.

Problem

Solution

I don't see the Change Order button

Make sure you have Admin access. Check the +More dropdown — it may be nested there.

Change order not going through

Verify that the project is in an active stage and hasn't been completed or archived.

Something looks different from the screenshots

SubcontractorHub updates regularly. The feature works the same way — the layout may just look slightly different.
