Create a Pass Setup

Create a pass setup and its box office.

Learn about choosing setup details, configuring options like payee and processing fees, building Year Long, Season, Family Activity, and Punch pass types, and setting up the pass on an event.

Setting up a pass shares some steps with a regular ticket setup but differs in a few key ways. See: Create a Ticket Setup and Box Office for detailed instructions on Tickets.

See the table of contents for a list of sections covered in this article. Get started by reading the instructions below.

Create a Pass Setup

  1. Go to Events -> Ticketing.

  2. Click the Passes button.

  3. To create a pass, click Manage Passes at the top right of the screen and select Add Pass Setup.

  4. You will land on the New Ticketing Setup.

Expand each section below to read about each step in the pass setup process.

Details Tab

  1. Set the Setup Type set to Activity Pass.

  2. Setup Name should match the intent of the setup. If you plan to keep all of your passes for the year under one setup and event, a name like "2026-27 Activity Passes" works well.

  3. School Year: Defaults to the current school year. Determines when the setup will be used.

  4. Description: Appears on the checkout page. This is often more useful for passes than on a regular ticket setup, as it lets you describe each pass type to the purchaser.

  5. Disclaimer: Appears on the checkout page. It's optional and gives you space for additional warnings or important information.

  6. When these fields are complete, click Continue.

Configure Tab

  1. Ticket Technology: Either a scannable QR Code or a 'Tap to Enter' Button that appears on the ticket.

  2. Stripe Account: Pre-set to the Bound Stripe Account.

  3. Upcharge Processing Fee: On by default. When left on, the site fee is passed to the purchaser.

    • For example, a $5.00 ticket costs the purchaser $5.90, and the school is paid $5.00. Turned off, the fee is deducted from the ticket price: a $5.00 ticket costs the purchaser $5.00, and the school is paid $4.10.

  4. Set Accepted Passes Manually: When on, requires a school admin to choose which passes each event accepts, either from the bulk page or in the event settings. When off, passes are good for any ticketed event for the school.

For schools that collect sales tax: Below the Upcharge Processing Fee toggle, you'll see a toggle for Upcharge Sales Tax.

  5. Additional Settings: These settings apply only in specific situations and usually don't need to be adjusted.

    • Gate Checkout Receipt is on by default. It shows name and email fields in the checkout area of the admin web box office. The fields are optional and exist for when someone at the gate wants a receipt.

    • Useable Across Districts applies only to schools that live under a district with multiple schools. It applies most often to pass setups.

    • Allow Complimentary Tickets, when on, adds a button to the admin box office checkout for sending complimentary tickets.

  6. When finished, click Continue.

Options Tab

Start by clicking Add Pass Option.

Each Pass Type is set up a little differently. After clicking Add Pass Option, expand the appropriate section for the pass type you're setting up.

Year Long Pass

A Year Long pass is good for the entire year.

  1. Option Name: Give the option a descriptive name.

  2. Pass Type: Select Year Long.

  3. Passes per Purchase: Single (1 pass).

  4. Fee: The price you charge for the pass.

  5. Available Online: Turn on for sales on the web and in the Bound App. Options left off will remain hidden.

  6. Button and Activated Colors: Adjust if you want different colors, and use the preview to check the result.

Click Add Option when done.

Season Pass

A Season pass uses the same settings as a Year Long pass, with one change.

  1. For Pass Type, select Season.

  2. Enter the season's Date Range. For a football pass, for example, you might set 09/01/2026 to 11/01/2026.

Click Add Option when done.

Family Activity Pass

A Family Activity pass uses the same settings as a Year Long pass, with these changes:

  1. Passes per Purchase: Select Multi.

  2. Multi Mode: Choose Fixed or Flexible.

  3. Fixed gives purchasers a set number of passes. If you enter 4, each purchaser receives 4 passes with no option to change.

  4. Flexible lets purchasers choose how many passes they receive, up to the number you enter. If you enter 6, a purchaser can select any number up to 6 at checkout. You might note in the description that buyers should select only the number of passes for their immediate household, so a family of four would select 4.

Click Add Option when done.

Punch Pass

A Punch pass uses the same settings as a Year Long pass, with these changes:

  1. Pass Type: select Punch Pass.

  2. Number of Punches: Set how many punches the pass includes.

When done, click Add Option.

When you finish creating each option, click Continue.

Review and Save

Review the Details, Configuration, and Options, then click Create Setup.

Leave Fund Allocation settings at default. You can edit the Payee in the Fund Allocation settings on the right side of the setup window if needed:

Creating the Pass Box Office

Once the setup is complete, go to the Passes tab, find your pass setup, and click the Create Box Office button.

This creates a non-competition event for your passes to live in. On the New Event (Non-Competition) Page, enter the following:

  • Title: Give the box office a meaningful title. This is what buyers see when they search for passes in the Bound App and on your Bound page. Including the school year is recommended so you can verify at the gate that a pass is for the correct year.

  • Category: Set to scheduled Event.

  • Status: Set to active.

  • Date: For most passes, set the range from the start of the school year to your last event. A common setup is Start Date 08/01/2026, End Date 07/31/2027, Start Time 12:00 AM, End Time 12:00 AM.

  • Location: A location is required. Your main school location usually works. This doesn't affect how the pass works.

  • Public Visibility: Must be on for passes to sell on the web and in the Bound App.

When done, scroll to the bottom of the page and click Save.

If any Conflicting Events exist, the system will notify you. This does not mean you cannot proceed, it is just a courtesy message.

After saving, you're taken into the Ticketing Settings for the event you just created, with the pass setup already attached in the Ticket Setup dropdown.

Passes go on sale based on the event dates, unless you set a custom sale window in the event's advanced settings or at the option level.

For details on those settings, see Advanced Event Ticket Settings.

Troubleshooting Tips:

  • Ensure the Ticketing Availability End Date is set to a future date that covers the season.

  • Events outside the next 90-day window will not appear until they fall within that timeframe.

  • Add a location to the event; tickets will appear after the system updates.
