Practice Manager Checklist

Checklist to ensure the platform performs at its best

We want to ensure that your practice receives the maximum benefits of the platform.

The checklist items below will ensure that the core features will function as expected. Take note of any issues you see so that your Customer Success team can remedy them before going live.

1. Online Scheduling

Click on the Account Settings > Reasons page on the left side bar to go to your Reasons settings. (Note: To see the full name of the menu items click on the three horizontal lines at the top of the image below)

1a. Validate that the reasons for booking are what your practice has requested.

1b. Validate the duration set for each reason

1c. Validate that the correct practitioners assigned to each reason for booking by looking at the "Practitioners Performing This Reason" section.

1d. To ensure that the online booking experience offers accurate availabilities, we will want to dry run an appointment booking. To access the online booking application, go to Account Settings > Online Booking. Under the Online Scheduling Widget Preview, click on the Preview button.

Once you open it, we recommend testing availabilities for a popular reason for booking such as Regular Checkup & Cleaning, and then selecting No Preference.

2. Smart Recare (Validating Continuing Care Data)

2a. Validate that Donna is accurately reading your practice’s Continuing Care data by doing the following. Go to the Dashboard page:

Scroll down to Donna’s TODO List, and click on Patient Recalls

Select a few patients from today, as well as the next few days (by scrolling up and selecting a different date in the top-right date box on the Dashboard), and ensure that these patients are being contacted for the correct Due for Hygiene / Due for Recall Exam dates.

3. Office Hours

3a. Validate that the platform’s representation of your practice’s Office Hours is accurate by going to the Account Settings > Practice > Office Hours page. This is important for ensuring accuracy with Online Scheduling, as well as ensuring that Donna’s Reminders will accommodate the correct amount of Business Days (open days) before a patient’s appointment.

IMPORTANT: Please ensure that any changes to Office Hours are properly made. This is dependent on what Practice Management Software. Use the list below to direct you to the appropriate steps to change them if they are incorrect:

4. Practitioner Schedules

4a. Validate that the platform’s representation of your Practitioners schedule is accurate by going to the Account Settings > Practitioners > Practitioner Schedule page. This is important for ensuring accuracy with Online Scheduling.

IMPORTANT: Please ensure that any changes to practitioners schedules are properly made in your Practice Management Software. Use the list below for steps on how to change your practitioners schedules if they are incorrect.

5. General Practice Information

5a. It is important that your practice's information is correct. You can validate this by going to Account Settings > Practice > General and viewing the information displayed. This information displayed below is what will be used by Donna in all of your practice's automated communications.

6. Adding Procedure codes (Tracker Only)


6a. In order for Donna to have accurate due dates based on Tracker's pending appointments, the Reason Advanced Settings in Tracker need to be properly set up. Please follow this article on how to set it up:
