If your school is new to ClassCover or you're adding new casuals to your list who haven't used ClassCover before, it's important to ensure a smooth transition. While casuals automatically receive an invite when added to your list, sending a personal message from your school can go a long way in helping them feel prepared, supported, and confident using the platform.

This article outlines how to notify your casuals, what to include in your message, and provides a ready-to-use email template to make the process easy.

Why Notify Your Casuals?

Not all casuals will be familiar with ClassCover – especially if you’re just getting started or inviting new users. A personal message from your school helps:

  • Set clear expectations around your booking process

  • Encourage prompt profile setup and availability updates

  • Reduce confusion and improve response rates

  • Create a warm and professional onboarding experience

What to Include in Your Email

Here are some helpful prompts to include in your communication:

  • A brief welcome or introduction

  • Why you’re using ClassCover for casual bookings

  • What they need to do next (e.g. accept the invite, set up their profile, download the app)

  • Tips to help them succeed (e.g. keeping availability updated, enabling push notifications)

  • Where to go for help or support

You can also copy and customise the email template below to send to your casuals directly. This template also includes helpful articles to assist your casuals in getting started on ClassCover.
