The rollout connects the platform setup to everyday use. It covers the scope, how you engage drivers, the invitation waves and the handover to ongoing operations. The goal: no driver loses access to charging, and no home charging session goes unreimbursed.
1. Define the rollout scope
EEVEE works with your key stakeholders to agree on the details, the timeline and who does what. Use this checklist:
Topic | What to agree |
Driver target groups | Which groups or departments are invited in each phase. |
Data registration start date | The exact date from which vehicle data and charging sessions are tracked. |
Driver configuration rules | Rules per group (reimbursement model, caps and cost controls), set with the EEVEE bulk invite template. |
Invite waves and lead time | Kickoff date, number of waves, wave size, and how long before the start date invitations go out. |
Supplier transition | A fixed switchover date to leave your previous charging supplier without gaps in coverage. |
Charge pass dispatch | When passes are ordered, how they are distributed and how they reach drivers. |
Integration timelines | When payroll and fleet management systems are connected. |
Roles and responsibilities (RACI) | Who does each task across HR, fleet management, IT and EEVEE. |
Tip: deactivate the cards of the previous supplier only after the driver's car is connected to EEVEE and the new charge pass has arrived.
2. Communication, education and talking points
Clear internal communication increases adoption, reduces questions to the helpdesk and prepares drivers for the switch.
Communication templates: use our announcement email and news posts to inform drivers in advance. See Template: announcing the switch to your drivers.
Driver webinars: live onboarding sessions, hosted by EEVEE together with your fleet manager.
FAQ and resources: share the Help Center articles and driver app guides before the invitations go out.
Talking points for admins and HR
"Why does my wallbox show a different number than EEVEE?"
EEVEE measures at the car's charging port, within a 2% accuracy tolerance. Standard wallboxes also have a 2% tolerance. The two numbers will never be exactly the same, but both are within the legal tolerances. See Charging accuracy: how EEVEE measures home charging.
"Do I need a new charger or a whitelisted card at home?"
No. EEVEE works through the car and with any hardware, so drivers don't need a special home charger or CPO whitelisting. Any standard socket or wallbox can be used at home.
3. Driver onboarding waves and VIN registrations
Drivers are invited in the waves agreed in the scope. For each wave:
check that vehicles, drivers and group rules are complete, or let EEVEE set them up in bulk;
send the invitations with enough lead time before the data registration start date;
ask drivers to have their VIN and current odometer reading ready, as some car brands need them to connect.
4. Execution monitoring and support
Follow up in the dashboard: see who has created an account and connected the car, and which setups still miss a home address or IBAN.
Remind drivers who have not finished before the deadline.
Regular syncs: review connection progress and open questions with your EEVEE contact.
Support: drivers can contact talk@eeveemobility.com or use the chat in the app. Fleet managers can reach fleetsupport@eeveemobility.com.
5. Rollout completion and ongoing operations
When all waves are onboarded and the car connections are stable, the project moves into normal operations.
Rollout surveys: we send a short survey to fleet managers and one to drivers, to measure adoption and collect feedback.
Ongoing optimisation and QBRs: the same Customer Success team that led your onboarding stays your account team, with Quarterly Business Reviews and continuous optimisation.
Close the old supplier: deactivate the remaining old cards and end the contract.
Monthly routine: home charging is reimbursed every month, and you add new drivers and deactivate leaving drivers in the EEVEE Business platform.
