2. Onboarding your company to EEVEE

The six steps we go through together before your drivers are invited.

Onboarding sets up everything on the company side before a single driver receives an invitation: billing, fleet structure, reimbursement rules and controls. Your EEVEE Customer Success contact guides you through six steps.

1. Project kickoff and initial sync

Before any technical setup, we agree on a clear project framework with goals and milestones.

  • Kickoff meeting: one alignment session with your key business administrators, the HR lead, finance and the EEVEE team.

  • Scope and timeline: together we set the boundaries of the rollout, the vehicle registration goals and the target go-live dates.

  • Strategic alignment: we agree on the first tasks, pick a few test drivers and confirm your business units.

  • Follow-up sync: a recurring check-in to review the first vehicle connections and answer early questions.

Switching from another supplier? Bring the end date of your current contract to the kickoff, so we can plan the switchover without gaps.

2. Platform setup and corporate billing

We set up your billing details, so invoicing and reporting run automatically.

  • Billing profile: your registered company address, VAT number and the accounts payable email address that receives invoices.

  • Invoices: one consolidated invoice for all company charging is issued automatically at the end of every billing period.

  • Payment: pay automatically by SEPA direct debit or credit card, or by standard bank transfer.

3. Organising your fleet structure

Your EEVEE workspace mirrors how your company is organised.

  • Locations and entities: add your offices as work locations and your legal entities, so invoices are split correctly across subsidiaries.

  • Groups: group drivers by division or region for reporting per department.

  • Roles: invite colleagues as full admins, or give read-only access to accounting.

  • Single Sign-On (SSO): let admins log in with your company account, in line with your IT policy.

4. Automated reimbursements and policies

Home charging reimbursement

  • No hardware needed: EEVEE reads charging data directly from the car and calculates home consumption without a smart charger.

  • Choose how you reimburse: at the driver's actual energy tariff, which the driver enters in the app, or at a fixed regional rate that you set in the dashboard.

Control rules

  • Location and time controls: limit company-paid charging to approved areas, such as workplace geofences, or to specific days of the week.

  • Compliance tracking: sessions that break a rule are flagged on the dashboard straight away, so you can review them.

  • Split billing: EEVEE can separate private and business use. Private charging, for example outside working hours or during holidays, can be billed directly to the driver's private bank card.

5. Driver onboarding and public charge passes

Getting drivers started takes only minutes.

  1. Invitation: admins send email invitations to drivers from the portal.

  2. Bulk setup: for larger fleets, EEVEE can do the driver setup in bulk for you, so you skip the manual steps.

  3. Connection: drivers download the EEVEE Driver App and link their car with their manufacturer account.

  4. Monitoring: the dashboard shows setup issues, such as a missing home address or IBAN, so you can follow up.

The EEVEE charge pass

  • No subscriptions: no monthly card fees. You only pay for the energy used, at the operator's standard rates.

  • One invoice: all public charging sessions are bundled on your monthly company invoice.

  • Charging map: drivers find charge points on the map in the app or at map.eeveemobility.com.

6. Platform integrations, exports and support

  • Payroll integration: send the monthly reimbursement totals per driver straight to your payroll or accounting system.

  • Fleet systems: sync odometer readings and total cost of ownership with your fleet management platform.

  • Reporting: export full charging histories and CO₂ savings as CSV or PDF in one click.

  • Onboarding materials: slide decks, quick guides for drivers and a car policy template you can adapt.
