How do I change the date of an invoiced work order?

As of October 2026, you can only change the date of some invoiced work orders. It will depend on (1) the type of work order and (2) whether or not it’s been serviced.

  • Recurring work orders that haven’t been serviced can have their date changed.

  • On Request work orders that haven’t been serviced can have their date changed, but only if your user has the “Change date on invoiced work orders” permission enabled.

  • Serviced work orders cannot change their date, whether they’re Recurring or On Request.

This applies whether the invoice is a draft, posted, or paid. Locking these dates keeps your invoices aligned with the work you billed for, while letting your team fix dates when plans change (e.g. a delivery that went out a day early).

Who is this article for?

Billing teams and dispatchers who need to move an invoiced work order, and admins who manage permissions. In this article, we cover:

  • The permission you need to change the date of On Request work orders

  • How to change the date

  • What happens to the invoice afterwards

  • What to check if the date is still locked

Before we start

To change the date of an On Request work order, you'll need the "Change date on invoiced work orders" permission. It's off for every role by default, including admins, so your admin will need to turn it on first.

You don't need this permission for Recurring work orders.

How do I turn on the permission for a role?

This permission is off for every role by default, including admins. Your admin can grant the permission via Settings > Users > Roles or People > Select a role or person > Office permissions.

Locate the “Change date on invoiced work orders” permission for that role or person, set it to Edit, then click Save.

How do I change the work order date?

Open the work order. Click the date in the top right. If the date is greyed out, see “Why is the date still locked?” below.

Select a date, then confirm the change.

After confirming, you’ll need to route the work order from Route Manager.

Does changing the date update the invoice?

No. The invoice line keeps the work order date it was invoiced with. To show the new date, you'll need to regenerate the invoice.

Why is the date still locked?

It will be one of the following reasons:

  • The work order is serviced; those stay locked for everyone.

  • Billing is locked for that period (an “Account Period Lock”).

  • It’s an On Request Work order, but you don’t have the “Change date on invoiced work orders” permission.
