Work Orders & Routing Calendar

Provides an at-a-glance view of all work orders and assigned routes in one interactive calendar, making it easy to schedule, filter by date, and manage route-specific workloads.

Updated yesterday

The Work Orders & Routing Calendar is a powerful tool designed to give you a comprehensive, at-a-glance view of all your work orders and their assigned routes. This feature combines previously separate sections into a unified calendar experience, allowing for efficient scheduling, filtering, and management of your daily operations. You'll primarily interact with this calendar to organize, track, and make adjustments to your service schedule.

Unified Work Orders & Routing View

This section integrates all your work orders and routing information into a single, interactive calendar display. Each day on the calendar can show multiple work orders, represented by colored circles and icons, giving you immediate insight into your daily schedule. The main elements of this view include:

  • Calendar Display: A visual representation of your work orders spread across months. Each day can show multiple work orders with colored indicators.

  • Date Range Filter: Located on the left, this panel offers quick selection options like Today, This Week, Last 7 Days, Current Month, and more, allowing you to quickly narrow down the work orders displayed below the calendar.

Filtering Work Orders

When you select a date range from the left-hand panel, the calendar automatically highlights the selected period, and the list of work orders below the calendar updates to show only those scheduled within that range.

The filtered work orders are displayed in an accordion format, allowing you to scroll through and interact with them directly. While specific routing information in this accordion will be enhanced in future updates, you can already assign and route work orders from their respective more menus.

Route-Specific Views

For work orders that have been assigned to a route, the calendar dynamically creates dedicated tabs at the top of the calendar interface. These tabs allow you to quickly switch between different route views, focusing only on the work orders associated with a specific route.

  • Route Tabs: Click on a Route tab (select a route) to see only the work orders assigned to that specific route in the calendar and the list below.

  • Route Filters: Use the filter icon (shaped like a funnel) at the top right to filter by specific routes or services. Selecting a route here will automatically switch to its dedicated tab if one exists.

Understanding Calendar Details with the Legend

For a clear understanding of what each color, status, and icon on the calendar represents, click the information icon (shaped like an 'i') next to the Hide Calendar button. This opens the Calendar legend, which provides detailed explanations for:

  • Work order statuses: Definitions for states like Scheduled, In progress, Serviced, Skipped, Canceled, Hold, and Suspended.

  • Calendar icons: Meanings for icons indicating recurring service, on-request service, payments made, invoices sent, exceptions, added work orders, and work order notes.

Routing from the Customer Profile

From the customer's profile, ensure you are on the Services tab.

Select the recurring service you want to assign to a route (e.g., '8YD Weekly Collection').

Click the Work Orders sub-tab to view all scheduled jobs for that service.

Locate the next upcoming work order that you wish to route. All future work orders will follow this assignment.

Click the three-dot menu icon on the far right of that work order's row.

Select Assign stop from the dropdown menu.

On the routing map page, select the desired route from the dropdown menu.

Enter the desired stop number for this service within the selected route and click Save.

After saving, you will be returned to the work order list. The selected work order and all subsequent work orders for this service will now be assigned to the specified route and stop number.
