Complete A Job On The Mobile App

Completing Jobs, Completing Workflow Forms, Utilising Inventory & Servicing assets.

Mobile Team Members can create or sync jobs to their Mobile App for completion on-site, depending on the permissions granted to them. When a job is assigned and synced to the mobile app, The job will be displayed on the Web dashboard under the In Progress Status. Once the Team Members log in and sync their jobs, they can view all of the assigned jobs. For more information on how to sync the app, click here.

After viewing the job details, as per the Viewing Jobs On The Klipboard App article, you can continue to complete your job on the Mobile App.


Completing A Job On The Mobile App

Workflow Forms On The Mobile App

Workflow Forms are digital forms that have been created on Klipboard for mobile Team Members to use on jobs. These forms can be anything from industry-standard certificates to bespoke company job sheets. For more information on the Workflow Form Builder click here.

The number of Workflow Forms assigned to a job will be displayed on the red dot on the Workflow Forms button. Pressing the Workflow Forms button will enable the Team Member to view the forms allocated to the job:

Additional Workflow Forms can be added from the app, if required, by tapping 'Add New Workflow Form' at the bottom of the screen and selecting the form required. These forms will be displayed under the Additional Workflow(s) heading.

As the name suggests Mandatory Workflow Forms must be completed before a job can be completed, whereas Additional Workflows are optional and do not have to be completed, even if they have been downloaded to the app.

Team Members can download Workflow Forms to their device by tapping on the download icon. It is recommended that Team Members who know they are going to be working offline or in areas with limited / no data coverage, sync their devices and download required Workflows, Documents, etc prior to going to the job.

Workflow Forms must be uploaded to be viewable on the Web Dashboard. If an additional Workflow Form has been downloaded but not completed, a warning will be displayed if the Team Member attempts to complete the job on the app.

Previous Jobs

For jobs that have been created on the Web Dashboard, Team Members can access information relating to up to 10 of the most recent jobs that have been completed for the client at the location of the job.

Previous Workflow forms can be downloaded to the Team Members' mobile app, providing they have a data connection.

Documents Library

PDF Documents or Photographs can be associated with a Client on the web dashboard or uploaded when a job is created for that Client on the Web Dashboard.

PDF Documents or Photographs can also be uploaded from the mobile device to the job on the mobile app by tapping the Add Document or Add Photo buttons at the bottom of the screen:

Team Members can download assigned job Documents to their device by tapping on the download icon. It is recommended that Team Members who know they are going to be working offline or in areas with limited / no data coverage, sync their devices and download required Workflows, Documents etc prior to going to the job.

Products & Services Allocated

The number of Products & Services allocated to a job will be displayed on the red dot on the Products & Services button. Tapping the Products & Services button will enable the Team Member to view the Inventory items allocated to the job:

Products & Services can also be added to the job at any time until the job is completed on the Klipboard mobile app. Learn More On Products & Services On The Mobile App.

Asset Services Required On The Mobile App

The number of Asset Services Required on a job will be displayed on the red dot on the Asset Services Required button. Tapping the Asset Services Required will enable the Team Member to view the Assets requiring a service, planned or reactive.

If an Asset Service is required but has not been assigned when the job was created, an Asset Service Record can be added to the job on the mobile app. Learn More On Asset Services On The Mobile App.

Assets At Location

The Assets At Location button enables Team members to view and download the Asset information relating to All of the Client's Assets at the job location:

Once Downloaded, The Team member will be able to view the following Asset Information:

  • Details - The main Asset information (as per the Asset Fields configured in the Klipboard web dashboard settings, for more information click here).

  • History - The previous service records completed for the asset.

  • Photos - The images captured for the asset.

  • Documents - The Documents uploaded for the asset.

  • Contacts - The designated contact person for the Asset. (This can also be the contact that communications, such as Asset Service Reminders, are sent to. For more information on Asset Service Reminders click here).

Complete Job On The Mobile App

Once all of the required elements of the job have been completed and all required Workflow Forms have been uploaded, Team Members can press the Complete Job button. This will remove the job from their app and change the job status on the web dashboard to Pending.

Please note: If you do not require the Pending job status, Klipboard gives you the option of allowing your team members to bypass the Pending status and move the job straight to Completed, by turning on AutoComplete for a team member. Learn More On AutoComplete.
