In order to provide a safe and equal service to all members of our platform, it is important for you to follow some basic communication guidelines.

Dont's

  • Do not share contact details until the final reservation of the volunteer program is done

  • Do not arrange collusive applications beyond our Volunteer World application system

  • Do not send messages that include offensive language - Do not share personal contact details unless indicated by platform guidelines.

Dos

  • Be clear & direct

  • Be aware of cultural differences- Provide alternative information to volunteers, such as publicly available reviews or general program details, to avoid unnecessary disclosure of personal data.

We rely on trustworthy relationships as our business only succeeds if our partners receive volunteer applications via our Volunteer World application system. While all applications have to take place on our platform, sharing contact details in specific scenarios (e.g., conducting interviews) is permitted as long as the application continues through the platform.

We understand that some situations need a more direct way of communicating, e.g. in order to conduct an interview before proceeding with the application. This is why it is possible for organizations and volunteers to share their telephone numbers and Skype IDs - as long as the application process will be continued through our platform afterward. To ensure lasting trust and avoid any incidents or misunderstandings, we ask you to contact our team before proceeding. We'll be happy to advise and guide you. By respecting these rules, we all contribute to creating a safe and fair community.In addition, sharing WhatsApp and phone details is allowed under specific circumstances. After sharing contact information, ensure that you inform your Volunteer World admin to document the interaction. It is also essential to keep the application progress updated and take appropriate actions if it stalls, such as rejecting the application for clarity.

Privacy and Data Protection Protocols

Respecting privacy is essential on Volunteer World. Follow these principles when considering sharing contact details:

  • Protect the personal data of current and past volunteers, ensuring explicit consent before sharing any direct contact information.

  • Comply with regional data protection laws, such as GDPR, and avoid unauthorized sharing if unsure.

  • Offer alternative solutions to address volunteer queries without revealing unnecessary personal data, like directing them to publicly available resources.

Volunteer World aims to display all of its social projects the best way possible. With this purpose, we have developed an easy-to-use platform. Furthermore, if our cooperations work well we will advertise them on our various social media platforms with a monthly reach of millions of people. 

If you attempt to contact volunteers beyond our website to arrange booking and payment details, we cannot build a mutually beneficial relationship with you. Repeated violations of our Terms & Conditions such as arranging applications beyond our platform will, unfortunately, lead to a permanent exclusion from our platform. Our compliance team carries out regular audits in accordance with our internal protocols. By demonstrating accuracy and dialogue with our team, a partnership based on strong trust can be established over the long term.

Additionally, for the volunteer's Refund Guarantee and Flex Option on Volunteer World, it is vital that all communication happens on our platform, as otherwise we have no record of it and can't guarantee that our Platform Services will apply. 

If volunteers receive a message from a volunteer organization asking them to contact them beyond our website to arrange booking and payment details, they will immediately report it.
