Mailboxes show Failed, Setup awaiting (Pending), or "already exists" — or nothing happened after creating them

Normal activation time, what Setup awaiting/processing (formerly Pending), Failed and "already exists" mean for SMTP and Google Workspace mailboxes, why Google Workspace mailboxes get stuck, and when to contact support instead of recreating.

First: give it time

New mailboxes aren't ready instantly. SMTP mailboxes typically activate in 30–90 minutes; Google Workspace mailboxes usually take a few hours. Bulk creation runs in the background without a progress bar, so an empty Email accounts page or a Setup awaiting / Setup processing status right after you submit is normal — refresh after a while before assuming something is wrong.

The golden rule: if something looks stuck, don't delete, recreate or re-submit — that creates duplicates, "already exists" errors and, for Google Workspace, addresses you can't reuse until the end of the billing period. Contact support instead.

What each status means and what to do

  • Setup awaiting / Setup processing (called "Pending" in older guides) — the mailbox is still being created on our mail servers. Small batches clear within a few hours; very large batches (hundreds of mailboxes, e.g. via the API) can take longer and may finish partly. If an SMTP mailbox is still in setup after 4–6 hours (a day for very large batches), or a Google Workspace mailbox after 24–48 hours, contact support — we finish it from our side at no extra charge.

  • Failed — provisioning didn't complete. See the causes below.

  • "Already exists" — you deleted a mailbox and tried to recreate the same address. See below.

For every other status (Inactive, Suspended, Deletion scheduled), see What each mailbox status means.

Why a mailbox shows "Failed"

A Failed status usually points to the domain not being fully configured yet rather than to a problem with the mailbox itself.

  • The domain wasn't ready. Check that the domain is Active on the Domains page — mailboxes can't finish on a domain that's still provisioning. For your own (external) domains, check that only Maildoso's two nameservers are set at your registrar — no extra nameservers, and not expired ones. If the domain is Active and nameservers are correct, contact support and we'll re-run provisioning.

  • Google Workspace: the domain's Admin mailbox was deleted or cancelled. That cancels the whole Google Workspace of the domain, so every new Google Workspace mailbox on it fails, however many times it's recreated. Stop recreating and contact support — see The "Admin" mailbox.

  • Google Workspace: the address is still waiting for its removal date. A deleted Google Workspace mailbox stays active until the end of the billing period, and the same address can't be created again until then — so recreating it shows Failed. This is expected and support can't speed it up: use a different address, or wait for the removal date. See Deleting a Google Workspace mailbox — how it really works.

Google Workspace mailboxes stuck in setup for days (no error)

This is a different symptom from Failed: the mailboxes never show an error — they just never become Active, and deleting and re-creating them repeats exactly the same thing.

The most common cause is a missing first name or last name. Google Workspace requires both for every account; if either is blank, provisioning fails silently before the step that would mark the mailbox Failed, so it simply stays stuck.

  • Always enter a first and last name for each Google Workspace mailbox — not just the mailbox address.

  • If mailboxes are already stuck for more than a day, don't keep re-creating them. Contact us with the addresses: we'll set the missing name and restart provisioning, and you can change the display name later yourself.

"Already exists" after deleting and recreating

  • SMTP: a deleted mailbox isn't cleared instantly. Wait a little, or contact support to clear the old record before recreating the same address.

  • Google Workspace: the old mailbox is still active until its removal date, so the same address can't be recreated before then — see the Failed section above.

You clicked create but see no mailboxes and no confirmation

Mailbox creation has three steps — Enter mailboxes names, Check created mailboxes and Register mailboxes — and nothing is created until you finish the last one. If you completed it, wait a few minutes and refresh once — the job may still be running. If after ~90 minutes there's still nothing, don't re-submit, as repeated attempts make it unclear how many mailboxes were requested. Send us your account email and how many mailboxes you expected on which domains, and we'll confirm whether the job started and fix it if it stalled.

Tip: for Google Workspace mailboxes, make sure you selected Google (not Maildoso) in the provider choice at the top of the page. A domain serves either Google Workspace or Maildoso SMTP, not both, and stays linked to the provider you first use it with.

Mailboxes active but login still fails after a payment issue

After a past-due period or a reactivation, mailboxes can show as Active while their login is still blocked — your CSV may show a password placeholder such as "hold on", and sequencers return a 535 error. This isn't something you can fix by re-creating the mailboxes: contact us, we re-enable the login on our side, and then you export a fresh CSV and reconnect.

What to send support

Your account email, the affected domain(s) and mailbox addresses (or the batch size and roughly when you created it), and whether you deleted or recreated anything.
