Not all broadcasts need to be sent manually. Using a set of automations could save you time, and serve your fan base more efficiently.

Use this how-to guide for streamlining your communication with your fans, by using automated broadcasting techniques via email, SMS & more.

Automated broadcasts are sent using triggers dictated by you. These could be based on tags acquired by a fan profile OR by fan signup methods.

Once you are confident with the 3 ways you can broadcast to your fans, follow the below steps to create your automated broadcasts.

  • Navigate to Engage, then Automated Broadcasts.

  • Select New Automation

  • Choose a starting point. Your trigger will either be tag based, or by fan signup via sms, email, landing pages and more.

  • Here, choose the relevant tag that should trigger the automation, or the desired landing page/alternative fan signup method.

e.g. A tag could be from a completed landing page flow like sign-up-where-should-I-play? - this would mean any fan who completed the flow and was assigned this tag would be sent the automation.

e.g. Fan signup - you may choose to create a welcome email or text that is sent in response to a fan signing up through a certain method (email/SMS) or certain landing page.

TOP TIP: Fans signing up via QR code can be targeted with an automated broadcast using both methods i.e. Using the tag from the QR code OR the tag they receive by completing a landing page flow the QR was linked to. Use what best works for you as a flow.

Example of sign-up methods that can be chosen as triggers for your automations.

  • Unless you need to filter your audience more, so that only a specific demographic receive your automations, navigate to Action. (For creating an audience, click here).

  • Choose your Action, either Email, SMS or Pre-save

Email Automations

  • Follow the next few steps for creating an Email automation.

  • Select a template, or build out an email how you would for a regular broadcast.

TOP TIP: Feel free to navigate back to Broadcasts and save an existing email broadcast as a master template for use here, to speed up your workflow.

  • Once you've created and confirmed your Action, you'll see the below, then click Options.

  • Here, name your automation, and add the date and time it should start sending. You can also send it using a delay so that it waits that amount of time after the trigger has been recognised.

  • Further down you'll see options to add unique codes i.e. discount codes to your broadcast, and the option to only send once (used in most cases for automations).

  • Once confirmed here, you will see this, and can click Finish.

  • Here, you'll see a familiar setup (broadcast edit page) where you can make adjustments just as you can with regular broadcasts before activating.

  • Make sure your scheduled time is for when you need the automation to start going out to fans.

SMS Automations

  • If further back in the setup you selected SMS as your action, then follow the below.

  • Here you can add your text content and any links (a link will use 29 of your available 160 characters). You can find more on SMS broadcasts here.

TOP TIP: It's always effective to get a landing page link in your texts to fans if it's not linking out to anywhere else. Navigating them towards a landing page flow means you can collect more fan data and involve them in campaigns based on mechanisms such as fan uploads and polls.

  • Once you have hit continue, you will arrive at the broadcast edit page where you can make any adjustments and edit details.

  • Below will be the SMS content for you to thoroughly check before activating.

  • Remember, regardless of schedule time, just like regular broadcasts, these automations will not activate until you click the green activate button.

Pre-save automated broadcasts

  • If you selected pre-save broadcasts earlier on in the flow, these work in the same way.

  • Choose your trigger, and your default audience will be set to include fans who have pre-saved, and you can then segment them further if you need to.

e.g. On signup, you could send a playlist featuring personally curated tracks to fans who have pre-saved through a sign-up landing page flow.

TOP TIP: Test the flow internally before making any broadcasts client-facing, whether they be manual or automated.
