Fans donโt need to wait for broadcasts to be sent manually to hear from you - Automated Broadcasts can be used once certain criteria have been met.
Automated Broadcasts are sent using triggers chosen by you. These triggers include:
Tags being assigned to fans
Poll answers being selected
Items abandoned at Shopify checkout
Fan birthdays
Instagram comments
Instagram DMs
Create an automated broadcast
To start, head to:
Engage > Automated Broadcasts
Now select โ+ New Automationโ in the top right of the window.
Youโll be prompted to select the action, any relevant tags or poll answers and the broadcast channel.
Broadcast channels include:
Email
SMS
Pre-save
Instagram DM
The available channels will filter based on the trigger type selected - Has a birthday cannot be used with Instagram DMs, for example.
โ ๏ธ Please Note: Trigger type can be changed at any time, but the selected channel canโt be changed once saved.
Gets a tag
Gets a tag is a trigger type that listens for tags being assigned to fans.
โ ๏ธ Please Note: If a fan already has a tag, it cannot be assigned a second time and wonโt trigger any automations.
Once the Gets a tag tab has been selected, you can choose the tag that will trigger the automation. This can be done by:
Selecting the tag from the drop-down list
Writing/pasting the tag in the field provided
Once the trigger tag has been selected, choose your broadcast channel.
Landing page tags
Each landing page has a unique tag that can be found in the Config tab in the landing page builder. This tag is added to a fan once they have signed up via that page.
Landing page tags can be used as part of the automation trigger by adding them to the Gets a tag trigger field.
System tags
Openstage has a number of system tags that are assigned to fans after an action has been taken.
Here is a breakdown of these tags and when they are assigned to fans:
welcome - fan signed up via one of your landing pages
fanpage - fan signed up via your Fanpage
sms-welcome - fan has texted your Openstage phone number
voice-welcome - fan has called your Openstage phone number
presave-welcome - fan presaved on Apple Music, Spotify or Deezer
ticketing-welcome - fan purchased tickets via an Openstage box office
Additionally, Openstage has system tags for merch integrations. These tags are derived from the merch integration plus welcome. For example:
shopify-welcome
These tags are assigned when a fan purchases an item from the connected store for the first time since the store was integrated or have been pulled through from a historical sync or transactions.
Answers a poll
Answers a poll is a trigger type that listens for a selected poll answer on a landing page being chosen by fans.
Once the Answering a poll tab has been selected, you can choose the poll answer that triggers the automation from the drop-down menu.
Finally, select your broadcast channel.
Abandoned Shopify cart
Openstage can send email or SMS broadcasts to fans that have left items in their Shopify cart without a purchase.
Once the Abandoned Shopify cart tab has been selected, all you need to do is select your broadcast channel.
The automation will fire 10 hours after a fan has left items in their cart at checkout.
Has a birthday
Openstage can send email or SMS broadcasts to fans on their birthday.
Once the Has a birthday tab has been selected, all you need to do is select your broadcast channel.
The automation will fire for fans that have a birthday on the current date.
๐ Top Tip: Include a video message and a birthday gift for your fans.
We recommend that your birthday message includes:
A link to your store
A birthday gift for the fan (store discount, access to exclusive merch, access to downloadable content)

Sends a DM or Comments on a post or story
Openstage can send Instagram DMs to fans that have commented on your Instagram posts or after sending you a DM on Instagram.

Details tab
Once a trigger type and channel have been selected, youโll see the Details tab.
The Details tab shows the current status of the automation and provides options for adjusting various aspects of your automation before activating it.
The details tab always displays options for:
Description - your internal name for the broadcast (not shown to fans)
Start date - automation start date
End date - automation end date
Only send once - set the automation so it can only be triggered once by a given fan
โ ๏ธ Please Note: An automated broadcast that has reached its end date cannot be reactivated. A duplicate will need to be created to restart the automation.
Email, SMS and pre-save automations also have the option for delaying a broadcast by a number of days, hours or minutes.
โ ๏ธ Please Note: Delaying a broadcast takes between between the automation being triggered and the automation being sent.
The order is:
Trigger > Delay (e.g. 12 hours) > Send
This means that automations can show as being triggered without the broadcast being sent yet.
The lower portion of the Details tab provides information about the configuration of your automated broadcast.
This information includes:
Channel selected
Trigger type
Start date
End date
Creation date
Last update actioned date
Here you will also find a list of URLs that appear in your automated broadcast that have been clicked by fans. A list if these fans can be found by clicking 'View fans.'
The very bottom of the Details tab provides an overview of fans that will be targeted by your automation based on your Target audience filters.
Cloning and deleting automations
Automations can be cloned by selecting 'Clone' in the Actions menu when looking at your list of automations, or by selecting 'Clone' on the Details tab.
Automations that have been previously activated cannot be deleted. Only draft automations can be deleted.
Content tab
The Content tab is where you can alter the messaging of your automated broadcast.

The Content tab changes depending on the channel you have selected. Email automations can utilise any templates you may have built.
Here you can send yourself a test email/SMS and check the spam score for email broadcasts.
๐ Top Tip: The content tab can be used to change the trigger type for the channel you have selected.
Target audience
The Target audience tab is where you can add filters and segment the fans that should receive your automated broadcast.
This filter behaves the same way as our audience builder, providing a great deal of control over the target audience for your automations.
โ ๏ธ Please Note: The audience filter is only checked once the automation has been triggered.
This means that your broadcast may display more triggers than sends.
The process order is:
Automation triggered > Audience criteria checked > Send yes/no
Activating your automations
Once your happy with your chosen trigger, channel and messaging, it's time to activate your automation.
In order to start listening for triggers, your automations MUST be activated.
The 'Activate' button appears in the upper left of the Details tab.
If you do not see the 'Activate' button, it may be that you still need to add content, or populate empty fields. These required actions will be highlighted in red.
Automations that have reached their end date will display a 'Complete' status in place of the 'Activate' button.
๐ช Best Practice: Once activated, test your flow.
Your flows should be tested in their entirety once complete to ensure fans are experiencing the journey as intended.
Disable active automations
Active automations can be disabled by clicking the 'Disable' button underneath the automation status.
Disabled automations can be reactivated at any time.
โ ๏ธ Please Note: Automations that have reached their end date cannot be reactivated. They must be duplicated and set up as a new automation.
Performance
The Performance tab displays broadcast metrics for your automation.

SMS Costs
Your SMS billing portal MUST be topped up before automated SMS broadcasts can be sent.
