Here are some steps we believe are essential to the setup and running of your Openstage account. Follow these actions and you'll be fully equipped to run your account like a pro; capturing and owning true fan data and engaging with your fan base in a meaningful way.
π Account Setup
Before you can start talking to your fans and gathering data, make sure your account setup is as detailed as possible.
Add essential info including a reply-to email (compulsory for sending email broadcasts), and a profile picture.
Below these, enter your artist profile URLs from the major DSP's (essential for collecting pre-saves and sending pre-save broadcasts).
Then, enter all your social account URLs so fans can follow you there. These will be where the social buttons lead to on any landing pages you create.
π« Add Teams/Team members
You can add multiple users to your Openstage account so that everyone who needs access can have their own login.
To do this, follow the below steps.
Go to settings then account settings.
Then add a new team, or click your default team.
If you're an organisation that has multiple artist accounts, ensure you're adding a team member to the correct artist team, or overall organisation admin team.
Then add a new user and enter their email ID.
Follow the steps to send a password reset email to your new team member.
Once they have received it and chosen a password, they will be able to see the artist account.

π§βπ€βπ§ Import Fans
If you have existing mail list data, use the Import Fans function to get that data into the system. Here is how you can import data. Here is a more detailed breakdown on importing sales data.
The same goes for any historical merch or ticketing data. You can then link your Shopify, Ochre or Merchtable store in your settings to record transactional data going forward. (Navigate to Settings then e-commerce add on and follow the steps to add your merch store integration). For more details, see here.
If you're starting the database from scratch, head to making a landing page and start building your community.
π Create a Landing Page
Start using the landing page builder to create your first landing pages. These are essential tools for data collection. Start with a simple sign-up page and build it out from there, and use them in your link-in-bio sections on socials to start pointing fans towards Openstage.

π Create your Fan Page (link in bio)
Think of this as your store front. Your Fan Page can feature anything you want it to.
Start by adding a sign-up feature, pre-save section, and any latest videos or releases.
From here, you can add links to your merch store, downloadable content, and introduce fans to your fan zone.
A fan zone is a section on Openstage where you can have fans join a free or paid tier-subscription system to form a community. This is where you will nurture your core fans.
π Build an Audience
Use this helpful article to build an audience that you can use to send broadcasts to.
You may not always need to send a mailer to everyone, it might be to fans based on location, or a particular tag/activity.
π€ Send your first Email Broadcast
Once your data is in/you've got sign ups on board, start talking to your community. Let them know what you've got coming up and why they should be part of your journey.
Use the broadcast section to make mail templates that speed up your workflow and allow you to easily make new mailers and talk to your fans on a regular basis.

π΅ Connect your Music Catalog
Adding content here allows you to send music to your fans' DSPs.
You can add upcoming music to create pre-save broadcasts.
You can add existing music that you can "drop" into fans' libraries if they have pre-saved to you through Openstage.
As well as tracks/albums, you can send playlists to fans using the same method.
Keep up the good work!
Continue to engage with and nurture your fans.
