Getting Started with Updox Reminders

The Reminders feature in Updox helps practices automatically notify patients about upcoming appointments by text, phone, or email. Patients can confirm or cancel directly from the reminder, reducing no-shows and saving staff time.

This guide walks you through setting up and customizing your reminders.


Step 1: Log in to Updox

  • Enter your username and password to access your Updox account.


Step 2: Configure Reminders

Go to Reminders > Settings or Reminders > Scripts to set up:

  • Delivery method (text, phone, email)

  • Timing (when reminders are sent)

  • Response types (confirm, cancel)

  • Custom scripts for personalized messaging


Step 3: Choose Delivery Methods

  • You can set up to three automated reminders per appointment.

  • Each reminder can:

    • Use the same or different delivery method

    • Be sent at different times before the appointment


Step 4: Set Reminder Timing

You can restrict when reminders are sent by:

  1. Delivery start/end time – ensures reminders are not sent during off-hours.

  2. Restrict weekends – blocks reminders from sending on Saturdays and Sundays.


Step 5: General Configuration Options

Additional settings include:

  • Send reminders after confirmation → Reminders will still go out (without reply options) after a patient confirms.

  • Allow patients to cancel → Patients can cancel directly from the reminder.

  • Allow patients to call the office → Phone reminders let patients press 4 to be transferred directly to your practice.


Step 6: Create and Manage Reminder Scripts

  • Navigate to Reminders > Scripts.

  • View active scripts and Library Scripts (pre-built templates).

  • A ⭐ icon marks the default script for each communication method.

  • To change or customize a script:

    • Click Edit Script to preview or set as default.

    • Choose Duplicate Script to create and edit your own version.

    • ⚠️ Note: Human Voice scripts cannot be duplicated as new ones are no longer supported.


Activating Reminders

  • After configuration, toggle the Active switch next to each reminder (1st, 2nd, or 3rd).

  • Click Save to finalize.


Viewing Patient Responses

  • Open the Dashboard tab to see which patients have confirmed, cancelled, or not responded.

  • Patients who haven’t responded can be contacted by text or phone.

  • If your EHR is integrated with Updox, reminder responses will also appear in your calendar.


Tip: Review unanswered reminders daily to ensure patients are confirmed and reduce the chance of no-shows.
