Training Hub: eMDs Solution Series

Get started with Updox and eMDs Solution Series: connecting the two, signing in, sending documents to DocMan, and tips for Reminders.

This page is for practices that use Updox with eMDs Solution Series. Work through it in order. Skip any product your practice doesn’t have.

Connect Updox to eMDs

Updox shares patients, appointment calendars, and users with eMDs through Updox Central, which is installed on your eMDs server.

  • If eMDs hosts your server: our Onboarding team works with eMDs to set it up.

  • If you host your own server: your sales rep schedules an installation session with our team.

Signing in

  • Your admin creates your Updox username and password.

  • If you have the eMDs Patient Portal, you can also open Updox with the PATIENT PORTAL button in TaskMan. This creates your Updox user if you don’t have one yet.

  • Virtual printer: sign in with your Updox username and password or your practice’s Integration Key (Menu > Admin > Practice Information).

Patients and contacts

  • Patients sync automatically from eMDs.

  • Contacts don’t sync. Add them in the Address Book or upload a contact list.

Sending documents to eMDs

  • Categories sync from eMDs.

  • Files appear in DocMan and on the patient’s Attachments tab, under the category folder.

  • You can also send a TaskMan task to a provider.

  • Updox sends files as PDF by default. If your eMDs can’t open PDFs, contact Support and ask to switch your exports to TIFF.

Reminders tips (admins)

  • eMDs Visit Reasons sync as appointment types. A new type syncs only after it’s used on an appointment.

  • How far back appointments sync depends on your connector:

    • Standard connector: 90 days of appointments.

    • Advanced Connector: all past and future appointments.

  • New and changed appointments sync almost immediately. Recurring appointments don’t sync.

  • Patients can cancel from a reminder if your admin turns that on. Cancelled appointments drop off the eMDs calendar.

  • Updox uses the patient’s Preferred Reminder Method from their eMDs chart, so you don’t need to set it in the Updox Address Book.

  • Confirmation icons in eMDs:

    • Green phone: eMDs 9.1 or higher

    • Yellow phone: versions below 9.1

    • Purple: confirmed through the Patient Portal

  • Calendar names come from eMDs (user’s full name and location name).

  • Updox can mask the phone number that reminder calls come from.
