Onboarding Checklist: Video Chat

A setup checklist for Updox Video Chat: add users, check your camera and audio, learn the Waiting Room, and set up templates.

Who is this checklist for?

This checklist is for the Admin setting up Updox Video Chat (telehealth). Follow these steps to get your team ready for video visits.

Step 1: Add your users

  1. In the left-hand menu, click Inbox.

  2. Click Admin in the top right, then click Users.

  3. Click New and add each provider and staff member who will use Video Chat.

For full steps, see Creating and Managing Users.

Tip: Use each person’s email address as their username. It’s easy to remember, and it lets users reset their own password if they forget it.

Step 2: Check your camera and audio

  1. In the left-hand menu, click Video Chat. Your Waiting Room opens.

  2. Click My Device in the upper right corner.

  3. Check your camera preview and update your audio settings if needed.

Tip: Have each provider do this before their first video visit, so any camera or microphone problems are fixed ahead of time.

Step 3: Learn how to run a video visit

Share these articles with your team:

Important: The provider must be logged in to Updox to hold a video visit.

Step 4: Set up templates

Create templates for messages you send patients often, like visit reminders or letting a patient know their provider is running late.

  1. In the left-hand menu, click Inbox.

  2. Click Admin in the top right, then click Templates.

  3. Click New in the top right.

  4. Enter a Title and the message.

  5. Check Active, then click Save.

Note: For regular text (SMS) messages, a template must be 280 characters or fewer.

For more, see the Templates User Guide.
