How to follow the property onboarding workflow

Property Onboarding Workflow

Once a property is instructed, the Onboarding tab will appear on the property page. This is your central point for tracking everything needed to get the listing live - from compliance checks through to the listing going live on portals.

The tab includes a progress tracker showing your overall completion percentage and how many steps remain. The onboarding workflow has a number of core steps depending on whether the property is sales or lettings.

The steps shown in your workflow are determined by your Workflow Settings, where you can control which steps are included, mark steps as mandatory, and set the order they appear in. Steps can be deleted, rearranged, and custom steps can be added.

Mandatory steps are indicated by an asterix next to the step name and must be completed before the listing can be made live, though users with the 'Allow this user to publish listings when there are outstanding mandatory actions' permission can bypass this if needed.

Tip! If the property has both a sales and lettings instruction, you'll see separate onboarding tabs for each.

Terms of Business

Within the terms of business step you can choose to generate your TOB document within Street by selecting a document template with the 'type' Sales Terms of Business or Lettings Terms of Business. Additionally, if you have the Xodo (Eversign) integration set up, you can also send the document for e-signature.

Note - If no document templates with the correct type exist, you won't be able to select one here. See our document templates help article for more information.

If you've handled the TOB outside of Street, you can mark it as sent, mark it as signed, and upload a copy of the file manually.

Photo and Measure

The photo and measure step prompts you to book the appointment or mark it as complete if it's already been done or isn't needed. Once booked, the appointment details will show here and the step will update to complete automatically when the appointment is finished.

If the appointment has been booked, this step will show as pending with the details of the appointment.

Energy Performance Certificate

In many cases, the EPC step will auto complete due to our EPC Register intergration however if not you can add the EPC details if you have them available or mark as ordered if you've already request a copy.

Compliance Checks (AML)

If you have the either the Landmark or Smart Compliance integration enabled you will have the option to complete the AML checks from within the Compliance Checks step.

Property Information Questionnaire (PIQ)

If you have PIQ enabled in your settings you can view the details submitted by the vendor via the Street Consumer App. If you haven't received the PIQ, you can resend the request or click Complete Manually to mark the step as done and add notes β€” this does not fill in the PIQ on the vendor's behalf.

Note - Clicking 'complete manually' will not fill in the PIQ on behalf of the vendor, it simply allows you to check the step off and add any notes as needed.

Property Listing

The property listing step lets you track whether the listing details have been completed and send them to the vendor for approval.

If the vendor requests changes these will be flagged for you to review. You can also mark vendor approval manually and add notes if this happened outside of Street.

Board Ordered

The Board Ordered step allows you to create a board order and send a request to your board supplier if one is set up in your branch settings. If the property has been marked as not requiring a board, you'll see a warning here - click 'Mark as Required' to re-enable it if needed.

Electrical Installation Condition Report (lettings only)

For lettings properties being onboarded, you will see the core step for the EICR. Here you can create a maintenance job for the certificate to instruct a contractor to carry out the EICR, or upload an existing certificate. The step will indicate if a certificate isn't required for the property type.

Gas Safety (lettings only)

Similarly for lettings properties being onboarded, you will see the core step for the Gas Safety. Here you can create a maintenance job for the certificate to instruct a contractor to carry out the Gas Safety, or upload an existing certificate. The step will indicate if a certificate isn't required for the property type.

Property Details

The Property Details step works alongside the Mandatory Fields feature. Any fields marked as mandatory in your Property Details settings will appear here as outstanding if they haven't been completed. Click Edit Property to fill them in - the step completes automatically once all mandatory fields are populated.

Finalising the Onboarding Workflow

When all mandatory steps have been completed, you can click the button 'make listing available' at the bottom to make the listing live!

Note - If you have a role with the permission 'Allow this user to publish listings when there are outstanding mandatory actions' enabled, you will be able to make the listing available without completing all mandatory steps.
