Use the Calendar to manage your appointments and routes

The Calendar is a visual guide to your schedule and routes.

Key Points

Use the Calendar to see:

  • Day, Week, and Month Views

  • Work Pool and Missed Appointments

  • The stops for all your routes or individual routes

  • Stops that are geographically close so you can schedule them to one route

  • Where your techs are

Use the Calendar to create:

  • New Work Orders

  • Blocked time for your techs

  • Printouts of a tech's schedule

  • Printouts of a tech's Work Orders

  • Printouts of a tech's route sheet

Open and navigate the Calendar

  1. From the Dashboard, click Calendar. The calendar shows all your scheduled appointments.

  2. In the upper-left, click Day, Week, or Month to change the view.

To move around the calendar, click the < or > buttons in the upper-right to step between days, weeks, or months. Click Today to jump to the current day.

Move an appointment to a new day/time — in Week or Month view, click and hold the appointment, then drag and drop it onto the new day/time.


View a Work Order from the Calendar

  • Full Work Order — hover over the highlighted box, then double-click.

  • Quick highlights — hover over the highlighted box, then single-click. A pop-up shows location info, phone numbers, email addresses, account type, time preference, location Sticky Note, techs, Work Order number, appointment date, frequency, line items, invoice total, and account balance.

From that pop-up, you can click Edit to edit the Work Order, Edit Series to edit the series, or Close to dismiss it.


Create a Work Order from the Calendar

  • Day/Week view — hover over the day and start time, then click and drag down to the end time and release. The Work Order appears.

  • Month view — hover over the day, then double-click the day of the appointment.


View routes

  • Click the Filters button in the upper-right,

  • Click Calendars

  • Check the box next to each technician or route you want to see, or select all of them to see everything.

View the Work Pool and missed appointments

Click the Work Pool & Missed button in the upper-right. To expand the list, click Filter List, then filter by:

  • Customer name

  • Location name, address, city, or ZIP code

  • Date

  • Status

  • Route

  • Frequency

  • Service type

  • Max production value


Schedule from the Work Pool or the missed list

Schedule a Work Pool item:

  1. Click Work Pool & Missed in the upper-right.

  2. Click the Work Pool button to see all unscheduled appointments.

  3. Drag the appointment to the desired time/date and drop it.

Schedule a missed appointment:

  1. Click Work Pool & Missed in the upper-right.

  2. Click the Missed button to see all missed appointments.

  3. Click and hold the missed appointment, then drag it to the desired time/date and drop it.


Print a route

  1. Click the printer icon in the upper-right (the icon with the green circle).

  2. In the Print Work Orders dialog, select the route and the date range to print.

  3. Choose any options to include:

    • Include Work Pool — print the Work Pool.

    • Include Attached PDF Forms — print the attached PDF forms.

    • Include Route Sheet — print the route sheet.

  4. Select the number of Copies (usually one is enough).

If there are fewer than 20 Work Orders, the system generates a PDF and places it in your downloads folder. If there are more, it's sent to your email.
