An overview of the roles in iQualify and their associated permissions.

Roles in iQualify

In iQualify, people can be assigned a variety of roles, each with specific permissions and levels of access.

Individuals may hold multiple roles based on their tasks. For example, if you are both authoring a course and facilitating a class, you need to be assigned both the author and facilitator roles. This ensures you have the necessary permissions to complete all required tasks.

Note: Account owners and user admins can manage roles and permissions in User management.

Let’s look at each of the roles in more detail.

Learner

Manage users can add learners to class activations either when activating a new class or while editing an existing class activation. Main facilitators can also add learners using the Class console.

Note: Individuals enrolled through Self-signup are automatically assigned as learners.

Once the class begins, learners can access course content, complete tasks, and participate in any enabled social elements.

Facilitator

Manage users can add facilitators to class activations when activating a new class, or editing an existing activation. Main facilitators can also add other facilitators with the Class console.

Note: Main facilitators are facilitators who have been granted additional permissions, such as adding learners to classes or editing class dates.

When facilitators first log into iQualify, their dashboards resemble those of learners, but they will see a "Facilitate" option on their course card.

The key difference appears within the courses they facilitate, where they can access the Class console. This is where facilitators can view learner progress, tasks, pulse responses, and more.

Facilitators can also mark and provide feedback on tasks, as well as engage with learners using a range of social tools, provided these elements are enabled for the activation.

Coach

Coaches are assigned to specific learners in a class activation. They can view and mark tasks, but only for their assigned learners. Coaches also have access to the course content.

Author

Authors create, review, publish, and maintain courses in iQualify using Create.

They can invite reviewers and other authors to collaborate on their courses. Authors can only edit courses they have created or those to which they have been added by another author.

Reviewer

Reviewers can review and comment on course content to which they have been invited by an author. However, they cannot edit or publish the course content.

Manager

Manage users can create class activations using course content that authors have published.

Note: The manager role refers to the permission level these users have in iQualify rather than reporting lines in your organisation. We refer to managers as manage users throughout this article to clarify this distinction.

Manage users can view a list of class activations, as shown below:

Manage users can add learners, facilitators, and coaches to these classes. They can also set dates and customise class activation settings, including social channels and course overview information.

Account owner

Account owners manage iQualify settings at an organisational level and customise their iQualify environment.

User admin

The user admin role has access to User & group management, but not to other areas of iQualify settings. User admins can assist with administrative tasks such as managing user accounts or creating groups and reports.
