Refund eligibility
Refunds are available only under our 30-day new-customer guarantee: you can request a refund within 30 days of your first payment on the account (the first charge ever made on your Maildoso account, not the first payment for a particular package) if the product turns out not to be the right fit. This window is tied to your first payment and does not reset when you renew, upgrade or change plans.
To qualify for the 30-day money-back guarantee, configure your SMTP mailboxes with the recommended warmup settings:
At least 80 warmup emails per mailbox per day.
Kept for a minimum of 14 days.
Slow ramp-up disabled during this period.
Significantly lower warmup settings, such as 10–20 emails per day with slow ramp-up enabled, aren't recommended and may affect your eligibility for guarantees.
Domain registration costs are non-refundable ($15 per domain per year), as domains are purchased on your behalf at the time of order. An eligible refund is your subscription amount minus those domain costs and minus any time already used. For external domains (not registered through Maildoso), the $15 registration fee isn't deducted.
Google Workspace charges are non-refundable at any time, because Google Workspace fees are passed straight through to the Google Workspace provider. New or additional Google Workspace allotment isn't currently available to purchase — see Google Workspace mailboxes.
Not sure whether you're eligible? Don't try to work it out from your invoice dates — send us your account email and the order you mean, and we'll confirm the exact eligibility and amount.
After the first 30 days
Once you are past 30 days from your first payment, subscription charges are non-refundable. You agree to this when you accept our Terms of Service at checkout.
Renewals
Subscriptions renew automatically at the end of each billing period. We send a reminder 10 days, 3 days and 1 day before each renewal charge date, and you can cancel anytime before the renewal date (see below) or by contacting us. A renewal that wasn't cancelled in time is not refundable. Domain renewal charges (your yearly domain subscription) are non-refundable because the registrar renewal cost is paid at that point — but we can transfer renewed domains to you so you keep ownership. See Renewing your domains and mailboxes.
Some displays show domains as a "monthly" line with a $0 amount — that's how the yearly domain subscription is represented, not an extra monthly charge. Ask us if you'd like to confirm what will be charged next.
Cancelling your subscription
A cancellation needs to be in place before your renewal date to avoid the next charge. You can cancel it yourself:
Open Billing in the left menu of your dashboard (the page is titled Subscriptions).
Find the subscription you want to cancel and click Manage — this opens your billing portal.
Click Cancel subscription next to that plan and confirm.
If you have more than one subscription (for example separate mailbox, domain, pre-warmed domain or Google Workspace subscriptions), each has its own Cancel subscription button — cancel each one you want to stop. You keep access until the end of the current billing period and won't be charged again after that.
To confirm it went through: that subscription's Status on the Billing page shows Canceled. If it still shows Active after a few minutes, the Cancel button does nothing, or you're not sure which subscription to cancel, contact us and we'll cancel it for you and confirm back.
Some cancellations need us: partial changes — removing some domains but keeping others, splitting a mixed SMTP + Google Workspace bundle, or reducing the number of mailbox slots — aren't self-serve. Contact us with what to keep and what should go; see Deleting, replacing, reducing, or cancelling mailboxes and domains.
If the product isn't a fit
If you're running into a setup issue, contact us before requesting a refund — in many cases we can get you up and running quickly. Also make sure your warmup settings meet the recommended criteria (80 emails/day per mailbox for 14 days, slow ramp-up off) before concluding the product isn't a fit; improper warmup affects both performance and guarantee eligibility. If you cancel and later re-subscribe, you may be eligible for an account credit of one free month on the new subscription.
Need a break rather than a cancellation? We can pause an account for one month: the next mailbox payment is delayed by a month and the mailboxes are deactivated for that month. Longer pauses aren't available, and domain subscriptions keep running so your domains don't expire. Contact us before your renewal date if you'd like this.
Refund requests caused by blacklisting or deliverability concerns
If you're considering a refund because your domains or IPs show as blacklisted, don't treat that as a dead end — a blacklist flag is not a verdict. A SURBL or Spamhaus DBL listing has no practical impact on inbox placement, and flags on rotating IPs or sequencer "burned" labels usually don't reflect your domains' real reputation either.
Send us your account email, the affected domains, which blacklist or tool flagged them, and whether you're seeing actual bounces or rejections (a screenshot or one full message header helps), or book a free Deliverability audit from the top bar of your dashboard. Fixes range from "nothing is actually wrong" to warmup recovery or a replacement domain. If we've reviewed your case and genuinely couldn't help, refund eligibility follows the policy above. See Mailboxes or domains show as "burned", "blacklisted" or low reputation.
How to request a refund
Open a chat or email us from the address on your account, and tell us which order it relates to.
We'll confirm what's eligible and the amount, and take care of it for you.
Refunds go back to your original payment method minus the payment processor's fee (a small percentage the processor doesn't return to us). If you prefer, we can apply the full amount as account credit toward a future payment instead.
Approved refunds typically post within 5–10 business days, depending on your bank. If it hasn't appeared after 10 business days, check with your bank first, then contact us if they can't locate it.
Duplicate or accidental charges
Each checkout creates its own Stripe record, so repeat purchases can appear as separate charges — see Invoices and receipts. If you think you were charged more than once — including twice for the same domains, or an annual domain charge that recurred monthly — tell us and we'll review your order. Genuine duplicate or accidental charges are corrected whenever they happened, not only within the first 30 days: we cancel the extra charge and either refund it or apply it as credit (credit avoids the processor fee).
The same applies to charges caused by an error on our side — for example a subscription that kept billing after you were told it was cancelled. Those are refunded in full regardless of the 30-day window, and we cover the payment-processor fee ourselves.
