Deleting, replacing, cancelling, or downsizing mailboxes and domains all work a little differently. This guide covers all of them in one place — what's reversible, what isn't, how timing works, and when to contact support.
Before you delete anything
Deleting a mailbox or domain in your Maildoso dashboard is a one-way action in almost all cases — once it's gone, the mailbox or domain and its warmup/reputation history are removed and can't be restored from the dashboard yourself.
Bulk-select applies to everything matching your current filter, not just what's on screen. On the Mailboxes and Domains pages, "select all" selects every row matching your current search/filter. If a filter from an earlier search is still active, "select all" can catch far more than you expect — check the count in the confirmation dialog against what you actually meant to remove.
Deactivated is not the same as deleted. A deactivated mailbox (see My mailbox was deactivated) still exists and can usually be reactivated. A deleted mailbox or domain has been removed and doesn't come back the same way.
If you deleted the wrong mailbox or domain, contact support right away with the affected name(s) and roughly when it happened. Recovery may be possible depending on how much time has passed, but it isn't guaranteed — the sooner you reach out, the better the odds. Re-purchasing a deleted domain or re-creating a deleted mailbox is not the same as restoring it: warmup progress and reputation history don't carry over.
Deleting or replacing a single mailbox
If a mailbox is scheduled for cancellation on a future date, you don't have to wait — you can delete it right away. Keep in mind deleting a mailbox is permanent and any sending history on it is lost.
A mailbox you cancel (rather than delete outright) keeps working until the end of the current billing period, then its slot frees up.
Once a slot frees up, you can create a new mailbox in its place within your existing plan, using Add More Email Accounts.
Deleted mailboxes aren't freed instantly — recreating one with the exact same address right away can return an "already exists" error. Wait a little, or contact support to clear the old one first.
Changing a mailbox address (alias) — the part before the @ can't be edited in place; changing it means deleting the mailbox and creating a new one with the address you want.
SMTP mailboxes: delete the mailbox, then recreate it with the new address using Add More Email Accounts.
Google Workspace mailboxes: the address can't be changed during the current billing period — the mailbox needs to reach the end of its billing period first. Since Google Workspace mailboxes don't have a spare slot to recreate into, this normally means waiting for your renewal date (new Google Workspace allotment purchases are currently paused, so paying for an extra slot isn't an option right now). Contact support if you need the address changed sooner.
If a change lines up with your renewal, let support know at least 2 working days in advance so we can coordinate the swap. Any mailbox you recreate is treated as brand new, so plan on warming it up for about 10 to 14 days before sending real outreach from it.
If replacing a domain from the dashboard (for example swapping a blacklisted domain using domain credits) throws an error and won't complete, this is a known issue with that flow, not something you've done wrong — contact support with the domain(s) and we'll action the replacement from our side. A short Loom or screenshot of the error helps us sort it out faster.
Deleting a domain
Deleting a domain isn't yet something you can do yourself from the dashboard. Send us the list of domains you'd like removed and we'll take care of it, usually within a few working hours.
Send us the exact domain names you want removed, and delete any mailboxes on those domains first.
Double-check the names so only the intended domains are removed — similar-looking names are easy to mix up.
Replacing a domain: if you're swapping one domain for another, the new domain is added at the standard $12 replacement fee. Set up the replacement before removing the old one — see Domain replacement. If a domain has to be replaced because of a genuine blocklist problem on a domain we registered for you, replacement within the renewal window is handled at no extra cost.
Expired or blacklisted domains are handled the same way as any other deletion: send us the specific list, confirm they're the right ones, and we'll remove them. Note that a SURBL/blacklist listing on its own doesn't actually require dropping the domain — read SURBL Listings and Deliverability Impact first.
Reducing the number of mailboxes or domains in your plan
Your plan includes a set number of mailbox slots and domain slots, and you're billed for the slots on your plan — not for how many you're actively using. Deleting a mailbox or domain on its own does not lower your bill; the slot stays on the plan until the plan itself is changed.
Reducing mailboxes: deleting a mailbox frees the slot so you can create a different address in its place. To actually lower the number of slots you pay for, contact us with the number you want to keep and we'll adjust the plan. Reductions apply from your next billing cycle — your current cycle stays as-is and mailboxes keep working until then.
Reducing domains: domains are registered for a full year, so a domain you stop using stays registered until its expiry date. You can remove a domain you no longer want from your account at any time; if replacing it, delete it first and then register the replacement into the freed slot. Reducing domain slots also takes effect at the next billing cycle.
Replacing instead of reducing: if your goal is a different domain name rather than a smaller plan, you don't need to change your plan at all — just replace the domain in the existing slot (see Deleting a domain, above).
Downsizing your plan removes mailboxes automatically. When you downsize or downgrade your plan, the system removes mailboxes automatically to match the lower count — right now you cannot choose which mailboxes or domains are kept, so a downsize can remove ones you wanted to keep. After a downsize you may also be unable to re-add the same domain from the dashboard. If a downsize removed the wrong mailboxes or domain, contact support right away — we can often restore recently deleted mailboxes and re-enable the domain from the backend. Don't repurchase or recreate them blindly first.
Cancelling mailboxes — when they're removed and when billing stops
Cancelling mailboxes doesn't remove them immediately:
The cancellation stops the next renewal — you're not charged again for those mailboxes — and the mailboxes keep working for the rest of the period you've already paid for.
The mailbox slots are removed from your plan at the end of the current billing cycle, not part-way through it. Once removed, your plan reflects the smaller number and your next invoice is lower.
If your goal is different email addresses rather than fewer mailboxes overall, cancelling is the slow route — instead, delete the mailbox you no longer want and create the new address in the freed slot (see Deleting or replacing a single mailbox, above). That takes effect right away and keeps your plan unchanged.
If the renewal date has passed and the mailboxes are still there, this can happen when a cancellation request doesn't get linked to the right mailboxes — contact us with the exact addresses and the date you requested cancellation, and we'll check and correct it.
Google Workspace mailboxes work the same way: cancellation stops the renewal and the slot is released at the end of the cycle. Once a Google Workspace account has passed its cancellation date it cannot be reactivated with its old data — a fresh mailbox has to be created. If you're not certain you want to cancel, let us know before the cancellation date and we can stop it.
Doing it in bulk
If you need to remove or replace a large number of mailboxes or domains at once, send us the full list of exact names. We'll confirm the list back to you before anything is removed, so nothing gets deleted by mistake.
When to contact support
Reach out if: you deleted more than intended, something disappeared without you deleting it, you're not sure whether something was deactivated or deleted, a downsize removed the wrong things, a cancellation didn't take effect on time, or you just want help deciding between deleting, replacing, reducing, or cancelling. Include the affected mailbox/domain names and the approximate time — that's what we need to check.
