From the main navigation, go to the Billing page and ensure you are on the Invoice groups tab.
Locate the invoice group you want to print and click the three-dot menu on its card.
Select Generate bulk print data. A notification will confirm that the process has started and may take a few minutes.
Once the data is generated, click the three-dot menu again for the same invoice group.
Select Generate postcard PDF.
In the Generate postcard PDF window, choose your preferred view. Select SINGLE POSTCARD for one invoice per page, or PAGE VIEW for multiple invoices per page.
If you choose PAGE VIEW, select either 3 per page or 4 per page in the Layout panel on the right.
Use the toggles and fields in the Layout panel to customize the postcard's content. You can choose to include a postage area, show your phone number, display the invoice number, and add custom notes.
Include postage area: Disable this if you use a postage machine or pre-stamped postcards.
Show phone in return address: Show or hide your phone number in the return address block.
Show invoice number: Display or hide the unique invoice number on the postcard body and stub.
Show AutoPay indicator: Add a notification for customers who are enrolled in automatic payments.
Include $0.00 invoices: Exclude zero-balance invoices from the print batch.
When you are satisfied with the layout and settings, click the Generate PDF button at the bottom right.
A system dialog box will appear. Choose a location on your computer, name the file, and click Save to download the PDF. You can now print this file.
Additional information:
Invoices must be in an Invoice group and must be POSTED (unpaid or paid state). Invoices cannot be generated in Postcard form if in Draft.
If the list of charges on an invoice contains more than eight items, they will be split across multiple postcards. You can easily identify the sequence of these postcards using the "(X of Z)" format.
Late fees are included. This is an identical copy of the standard invoice format. If you have configured and included late fees, they will be displayed on the postcard.
If the Generate Postcard PDF is grayed out or gives an error when selecting, this indicates you have not selected General Bulk Print data. Back up one step, select Generate bulk print data and then you can generate your Postcard PDF.
