The Event/League Menu

Updated over a month ago

In this article, we will take a look at the League/Event Menu in detail. Before proceeding to other menus, you will first want to use this menu to set up several important aspects of your league or event.

To access a particular league or event, go to Customer Center > Leagues, Events, and Trips and select the league or event.

The League/Event Menu is always the top-left menu item. Below, we will provide a detailed explanation of each item on this menu.

League/Event Profile

This section is where you initially set up and edit the characteristics of your league/event. Simply put, this is where your more advanced settings of the league or event are. You name your league/event, choose your time zone, determine how your players names will appear before invitations are sent, decide how your players will be assigned on the tee sheet, decide how many members there will be in a group, see how you retrieve and update your members' handicaps, how their handicaps will be calculated, decide whether you wish to automatically give members points for round attendance (only), and, finally, whether your league has a nine or 18-hole format.

Of course, these settings can be changed any time you wish. For more details on the League/Event Profile, Click here.

Course Details

Whenever you need to add or edit a course (scorecard) for your event/league, you can do it here. It can also be done in the Customer Center.

For more information on managing your courses, Click here.

Custom Fields

Custom fields allow you to add and store specific information on players. For instance, you may want to store their phone number or the bag storage number. If so, create the custom field.

Another time to create custom fields is when using Event and League Registration. If a player is registering for an event, you may want to collect specific information like shirt size. In that case, a "shirt size" custom field is needed.

Roster Activity Log

The Activity Log tracks various activity (eg player registration, rounds added, handicaps updated) from your players and your managers. To learn more, Click Here.

League/Event Payment Center

If you have enabled the Payment Center feature, this option will be visible. You can collect round payments from players or send them invoices for any time of fee you'd like. For more information on this, Click Here.

Registration Center

If you are allowing registration for an event or league, this is where you will go to enable, create and edit the registration form that players will be using to register for this event or league. For more information on this, Click Here.

Registration Payments

If using Event and League Registration, you can also collect payments during registration using Stripe. This page allows you to create one or more registration options. For details on collecting payments with registration, Click Here.

Invitation List

If you have this feature enabled, invitation lists can be created to invite specific players from your Master Roster to register for events. The registration for these events can be restricted to the invited list of players or the rest of your players can register at a later time. These lists can be used for exempt players, for prior champions or other similar scenarios.

Open Event/League Registration

If you are using Event and League Registration, click on this button to manually open or close registration for that event or league.

Roster Activity Log

The Roster Activity Log is used to track activity within an event/league like adding players, adding rounds, and updating Handicap Indexes. For more information on this page, Click Here.

Transaction History

If collecting payments using Stripe, you can view the Transaction History of the event/league on this page. You can also issue refunds. For more details on this page, Click Here.

You can pay for some or all of your player subscription fees. If your players are paying their subscription fees themselves, then there will be no need for you to make a payment. You can also add and remove stored credit cards on this page.

Multi-Round Series:

Creating a Multi-Round Series will allow you to group certain rounds together. When might you want to do this? For leagues, a series may need to be created to "bucket together" rounds for multi-round tournaments and round robin schedules. Series can also be created to separate point standings throughout the year. (eg Spring Standings, Fall Standings). For more information on Multi-Round Series, Click Here.

Round Robin Schedule

A Round Robin schedule is very popular for leagues and certain types of events. For events, the most popular format is the Invitational Round Robin Match Play used in Member Guests. A round robin schedule is needed for this type of event. For leagues, you may have a team that will play matches against all the other teams in the league to complete a round robin schedule. That is a very popular format. For more information on Round Robin Scheduling, Click Here.

Bracket Tournaments

Bracket Tournaments or knock-out tournaments are team or individual match play events where a bracket is used to form matches throughout the event. Some bracket events are season-long and some are played over the course of a few days (eg Club Championship). For information on Bracket Tournaments, Click Here.

League Tournaments:

League tournaments are large team head-to-head matchups, scheduled over several rounds using a round-robin schedule. For more information on League Tournaments, Click Here.

Multi-Round Tournaments

You can set up tournament formats that are played over multiple rounds within the league or event. Click Here for more information on Multi-Round Tournaments.

Waves (Association Customers Only)

Create wave pairings over one or two rounds using this feature. This feature is enabled only for Golf Genius TM Association customers. For more information on wave pairings, Click Here.

League/Event Standings

When setting up tournaments for an event or league, you may add a payout of points or a purse. If that is the case, players and teams will be accumulating points and purse throughout the league season or the duration of an event. To view and print these standings, you can go here.

Also note that your players will have access to these standings on the Team Standings portal page and Player Standings portal page.

Logos, Banners, and Backgrounds

Your events and leagues can have logos, banners, and background images assigned to them. They can be used on your printed material, TV leaderboard, portal, emails, and much more. This is where you go to manage them.

Photo Gallery

Photos and images can be loaded into events and leagues here. Create separate albums (eg action shots, winner's photos, foursome photos), upload photos to the albums, and much more.

For more information on using the Photo Gallery, Click here.

League/Event Talk

This is a great area for your players to share stories, congratulatory messages, or anything they wish to share (maybe some friendly competitive chatter). For example, it's a great feature for leagues and events where players come from different home clubs. League/Event Talk is also a great way to keep in touch with new friends they meet through the tournaments. If they took pictures during the round, this is where they can upload them and share with others.

Manager Forum

This is a message board for you and fellow managers of this specific event or league. Exchange tips, suggestions, and any other banter that you'd like.

League/Event Dashboard

When selecting "League/Event Dashboard" you are brought to the "League/Event Status At a Glance" page. This is where you can quickly access information such as what members have/have not registered for the Portal, your league/event attendance trend, points and purse and handicap ranges as well as the latest postings on League/Event Talk. Most importantly, you can easily see any outstanding items you need to perform.

Edit as Quick Event

If an event was originally set up using Quick Event Setup, you can navigate back to that mode by clicking on this option. For more details on Quick Event Setup, Click Here.

Add/Remove/Re-invite Manager

The last area of this Menu is the Manager Area. This is where you add and remove managers. When you add a manager, you will be asked to enter their email address. Enter the email address, and your new manager will get an email confirmation. There will also be an option to make them customer manager. If you check that, the individual you are inviting will have access to all the events and leagues you create.
