Finding and Resending Estimates and Invoices on a Job

How to find an existing estimate or invoice (Documents tab vs. live version), resend a new one, and what's customizable on an invoice.

Finding an Existing Estimate or Invoice

There are a few places to find a past estimate or invoice, depending on whether you need the exact copy that was sent or the current live version:

  • Documents tab (static copies): Chariot automatically saves a static PDF copy of an estimate or invoice any time it's sent — whether it's still unsigned/unpaid, or once it's been signed or completed. This is the best place to find exactly what a customer received at a given point in time, even if the job has changed since. See Uploading and Tracking Documents for a Job.

  • Estimate tab (current version): Shows the most recently sent estimate along with its "Last Viewed" status (see How to Check Estimate Status). If the estimate has been edited since it was sent, the Estimate tab reflects the latest edits — for the version the customer actually saw, check the Documents tab instead.

  • Results tab (current invoice): Reflects the job's live charges, totals, and payments. This updates as charges or payments change, so it won't match an older static copy if the job has been adjusted since the invoice was last sent.

Resending an Estimate or Invoice

To resend an estimate:

  • If nothing has changed, open the job's Estimate tab and click Send Estimate again — this re-sends the current version to the customer's email on file.

  • If you need to update it first (charges, hours, notes, etc.), click Edit Estimate, make your changes, then click Send Estimate. The customer gets a new signing link — any older links will still show the outdated version, so let them know to use the newest email.

To resend an invoice:

  • Open the job's Results tab and click Send Invoice to send the current totals and charges via text, email, or both.

  • Each time an invoice is sent, a fresh PDF snapshot saves to the Documents tab, so you'll always have a record of what was sent and when.

Sharing or Invoicing Only Part of a Job's Charges

Today, a job's invoice always includes all Results and all charges for that job — invoices aren't segmented by date or by partial charge amounts.

If you need to collect payment for just part of a multi-day job before the whole job is done:

  • Go to Results > New Payment > Share Payment Link and send the customer a link for just the amount due for that portion.

  • To fully separate the billing, you'd need to either remove and re-add charges from the Result over time, or create a separate job for that portion (not recommended, but works for invoicing purposes).

What You Can Customize on an Invoice

The charges on an invoice always mirror the job's Results page and can't be edited independently on the invoice itself. A few things you can control:

  • Customer name, phone, and email pull from the job's customer info.

  • Origin and destination addresses shown on the invoice come from the job's locations — to change what displays, update the origin/destination on the job.

  • Need to add information that doesn't have its own field (like a billing contact or PO number)? Use the Invoice Memo field, which displays directly on the invoice.
