Why This Matters
When new projects come in, you don't want to spend time manually figuring out who should handle each one. The Project Owner Round Robin feature automatically assigns projects to team members based on their shift schedule, location, and state — so the workload stays fair and no one gets overloaded.
It's like a rotating schedule that hands off the next project to the next available person, every time.
What You'll Need
Admin access to SubcontractorHub
At least two team members set up as users
Your team's shift schedules (day/night), locations, or state assignments planned out

Step 3: Click Edit
Click the Edit button next to Project Queues.
Step 4: Enable Round Robin
Click the toggle to turn on Project Owner Round Robin.
Step 5: Save the Permission

Step 6: Add a New Queue
Click Add Queue to create your first assignment queue.
Step 7: Configure Your Queue
Fill in the queue details:
Queue Name — Give it a descriptive name (like "East Coast Day Shift" or "Solar Install Team")
Type — Select the project type
Subtype — Choose a subtype if applicable
User — Pick the team member assigned to this queue
You can also set assignment rules based on: - Day/Night Shift — Assign projects based on time of day - Geolocation — Assign based on the customer's location - State — Assign based on the project's state
Step 8: Save Your Queue
Click Save to activate your round-robin queue.
Real-World Example
Maria manages a roofing company with teams in three states. She sets up three queues — one for each state — so that when a new project comes in from Texas, it automatically gets assigned to her Texas crew lead. Projects from Oklahoma go to a different team, and so on. No more morning emails asking " whose project is this?"
Pro Tips
💡 Create multiple queues for different regions, job types, or shifts to get precise assignment control
💡 Review queue performance monthly — if one team member is getting overwhelmed, add another person to their queue
💡 Pair with Lead Round Robin — you can set up a similar rotation for leads (see Setup Round Robin for Leads)
💡 Name queues clearly so any admin can understand the assignment logic at a glance
Troubleshooting
Issue | Solution |
Projects not being assigned automatically | Double-check that the Round Robin toggle is enabled and you clicked Update |
Wrong person getting assigned | Review your queue settings — check the state, shift, and geolocation filters |
Can't see the Project Queues section | You may need admin-level permissions — check with your account owner |
Key Terms
Round Robin — An automatic rotation system that distributes projects evenly across team members
