What Are Tasks?

Tasks are action items or reminders assigned to users in relation to a project. They help your team know exactly what needs to be done, who's responsible, and when it's due.

Key Points to Remember

  • 📋 Some tasks are created automatically — when a proposal is converted into a project, default tasks are added based on your organization's task templates.

  • ⚙️ Default tasks are managed from the Database — your organization admin sets up which tasks auto-populate. (Go to DatabaseTask Templates if you have admin access.)

  • 👤 Tasks are auto-assigned — default tasks are automatically assigned to the users configured in the template.

Step-by-Step Instructions

Part A: Create a New Task

1. Go to your project details page.

2. Click the "+" icon in the Tasks Lists section on the right side.

3. Fill in the task details: - Subject — what needs to be done - Assign To — yourself or another project member - Status — select from: To Do, In Progress, In Review, Completed, or Cancelled - Due Date — when the task should be completed [Image: Task creation form with fields]

4. Click "Submit" to create the task.

💡 Pro Tip: You can assign tasks to yourself or any team member using the "Assign To" dropdown. This is great for delegating work across your crew.


Part B: Manage Tasks from the Task Menu

5. Tasks can also be viewed and managed from the Task Menu in the main navigation.

6. To edit a task, click on the task subject to open its details on the left side.

7. Click the "Edit" button to modify the details, then click "Update" to save your changes.

SubcontractorHub automatically creates tasks like "Schedule Site Survey," "Apply for Permit," and "Order Materials" — each pre-assigned to the right team member from the task template. Sarah's install coordinator, Mark, sees his tasks immediately and starts scheduling. When the site survey is done, he changes the status to "Completed" and moves on to the next task. The whole team can see progress at a glance.
