Overview
Why this matters: A roofing or solar project has dozens of moving parts — permits to pull, inspections to schedule, materials to order, crews to assign. If any step gets missed, the whole project slows down. Tasks in SubcontractorHub let you create, assign, and track every to-do item tied to a project, so your team always knows what's next and when it's due.
💡 Bottom Line: Create a task, assign it to the right person, set a due date and priority, and let SubcontractorHub keep everyone on track with reminders and status updates.
Prerequisites
Before you get started, make sure you have:
✅ Access to SubcontractorHub (Admin, Manager, or User role)
✅ An existing project to add tasks to
✅ Team members set up as users for task assignments
Step-by-Step Instructions
1. From the main menu, open the Manage Projects dropdown, click Projects, and select your project.
2. On the project details page, find the Tasks List section on the right-hand side and click the + (plus) button.
3. Fill in the task details: - Subject — What needs to be done (e.g., "Schedule roof inspection") - User — Who's responsible - Stage — Which project stage this task belongs to - Priority — High, Medium, or Low - Start Date & End Date — The task timeline - Send Reminder — Check this box and pick when to send a notification
Click Save in the top-right corner of the pop-up.
4. Your new task appears in the Tasks List with all its details visible.
📌 New Feature: You can now create tasks directly from List View or Kanban View without opening the project first. This makes task creation faster and more convenient!
Filtering and Assigning Tips
5. Use the Filter By Priority dropdown on the Tasks page to quickly find high, medium, or low-priority tasks.
6. When assigning a task to a role, you can also select a specific user within that role from the User dropdown for more targeted assignments.
Real-World Example
Scenario: You just signed a new solar installation project for the Garcias. You open the project in SubcontractorHub and start adding tasks:
"Pull electrical permit" → assigned to your office manager Maria, High priority, due in 3 days
"Schedule crane delivery" → assigned to your operations lead Jake, Medium priority, due in 7 days
"Order panels from supplier" → assigned to your procurement team, High priority, due tomorrow with a reminder set for 2 hours before
Each team member gets a reminder notification before their task is due. Maria pulls the permit on time, Jake books the crane, and panels arrive on schedule. The project stays on track because everyone knew exactly what they needed to do and when.
Pro Tips
🏆 Tie tasks to project stages so they appear at the right time in your workflow.
🏆 Always set reminders on time-sensitive tasks — a nudge before the deadline prevents last-minute scrambles.
🏆 Use High priority sparingly — if everything is high priority, nothing is.
🏆 Create tasks from Kanban View for a visual, drag-and-drop approach to task management.
🏆 Assign to roles when you don't care who specifically does it — just that someone in that role handles it.
