Task Module In Leads

Overview

Why this matters: When you're juggling dozens of leads, it's easy to lose track of who needs a follow-up call, which lead needs a site visit scheduled, or who's waiting on a quote. The Task Module in Leads lets you assign, track, and manage tasks tied to individual leads — just like you do with project tasks — so your sales team stays organized and closes more deals.

💡 Bottom Line: Lead tasks keep your sales pipeline moving by making sure every lead gets the attention it deserves, with clear assignments, priorities, and reminders.


Prerequisites

Before you get started, make sure you have:

  • Admin or Manager access to SubcontractorHub

  • ✅ At least one lead in your system (or you'll create one in Step 1)

  • Team members set up as users so you can assign tasks


Step-by-Step Instructions

Part A: Create a New Lead and Add Tasks

1. From the main menu, click Leads, then click the Add Lead button in the top-right corner.

2. Fill out the lead details (name, contact info, etc.) and click Create Lead.

3. On your new lead's detail page, click Task List to open the task section.


Part B: Add Tasks to an Existing Lead

If you already have leads in the system, here's how to add tasks to them:

4. Go to Leads from the main menu and select the lead you want to work with.

5. Click Task List on the lead detail page.

6. Click Add Task on the right-hand side of the task list.

7. Fill in the task details: - Subject — What needs to be done (e.g., "Follow-up call," "Send quote") - Assignee — Pick a user, role, or multiple users - Priority — High, Medium, or Low - Due Date & Time — When it needs to be done - Send Reminder — Check this box and choose when to send a notification

Then click Save.


Part C: View and Edit Lead Tasks

8. To see task details, click on the Subject name in the task list.

9. Click Edit in the top-right corner to update the task.

10. Update the Status, Assignee, Priority, or any other field, then click Update.


Part D: View All Lead Tasks from the Tasks Page

11. From the main menu, click Tasks.

12. Select Leads from the Filter By Module dropdown.

13. Browse all lead tasks in one place. Click any Subject to view its details.

14. Update task details as needed and click Update.

📌 Pro Tip: Use the Filter By Priority dropdown on the Tasks page to quickly find high-priority lead tasks that need immediate attention.


Real-World Example

Scenario: You run a roofing company and just got 15 new leads from a home show. You create a task for each lead: "Follow-up call within 48 hours" assigned to your sales rep Sarah, with High priority and a reminder set for 24 hours before the due date. Sarah gets notified, makes her calls, and marks each task as complete. You filter by the Leads module in the Tasks page to see which follow-ups are still pending — and nothing slips through.

Make sure you've saved the lead first. The tab appears on the lead detail page after creation.

Can I assign a task to multiple people?

Yes! When choosing an assignee, select Multi-Users to assign to several team members.

How do reminders work?

When you check Send Reminder, the assigned user gets an email and in-app notification at the time you set.

Can I filter tasks by priority?

Yes — use the Filter By Priority dropdown on the main Tasks page.
