How To Request AI Designs

Why This Matters

AI-Assisted design requests allow sales reps to send a proposal to a designated designer when they are not completing the system design themselves. The designer can review the project information, create the layout and return the completed design to the proposal.

Depending on your organization’s configuration, design requests can also include electric and main panel documents, AI-Assisted questions and direct communication between the sales rep and designer. Once the design is completed, it syncs back to the proposal so the sales process can continue.

Follow the steps below to request, manage and complete an AI-Assisted design.

What You'll Need

  • Access to the AI Assisted - Request Design workflow

  • A customer proposal with the required consumption information

  • An available designer for the design request

  • Electric or main panel documents when required by your organization

  • Answers to any AI-Assisted questions configured for the design request

Step-by-Step Instructions

Step 1: Create a new proposal for a customer, selecting “AI Assisted - Request Design” from the “Select Design Tool” dropdown.

Step 2: Fill out the customer’s consumption profile and click “Start Design”.

Step 3: Click “Design Request”.


Step 4: Select the preferred designer from the “Choose Designer” dropdown. The partner will be assigned automatically based on the Aurora Partner Office mapped to the selected Aurora user.


Step 5: Once the design is requested, the stage will change to “Design Requested”.


Adding Electric And Main Panel Documents

If your admin has enabled the electric and main panel documents feature, follow the steps below.


Step 1: From the System Design section of the proposal, click “Design Request”.


Step 2: Select the designer, then click “Add File” to upload the main panel and electric documents.


Step 3: After uploading the documents, click “Save”.

Answering AI-Assisted Questions

If your admin has enabled the AI-Assisted questions feature, follow the steps below.


Step 1: From the System Design section of the proposal, click “Design Request”.


Step 2: Select the designer, then click on a question to answer it.


Step 3: Enter the answer, then click “Save”.


Note: Designers can view answers to AI-Assisted questions and uploaded electric and main panel documents in the “Designer Information” section of the design page.


How To Fulfill A Design Request

Step 1: The designer will be notified of the design request via email. Click the URL to go to the design tool.


Step 2: Click “Create Design”.


Note: Designers can view the customer’s location as a pinpoint on the map by clicking “House Address Pin Image”.

Step 3: Design the solar layout, then click “Save". For more information on designing with AI, please visit our How To Design Proposals With AI article.

Step 4: Go to the “Shading Information” section. Click “Edit”.

Step 5: Mark the checkboxes that apply and click “Save”.


Step 6: Scroll down to the "Project Information" section and click the edit icon in the “Status” field.


Step 7: Select “Design Completed”, then click “Update”.


Step 8: Designers can click “View Activities” to view their design request history. Clicking “Go To Proposal Detail” will take you to the proposal builder.


Step 9: From the main menu, go to the “AI Designs” tab to view all AI design requests.


Step 10: You can see all design requests and their status here.

Next Steps

Step 1: Once the design is complete, go to the customer’s proposal page and click “View Detail” to enter the proposal builder.


Step 2: The design will automatically sync with the proposal. You can request a re-design with the “Re-design Request” button.


Note: When initiating a re-design request, the sales rep can choose to upload an attachment.

Note: When using the AI design request feature, designers and sales reps can communicate via the AI design chat feature. Designers can click the “Chat With Sales Person” button from the AI design request page, and sales reps can click “Chat With Designer” to access the same chat from their proposal.


Note: When using the “Chat With Designer” feature, sales reps can now get real-time updates to the chat without having to close and reopen the chat to see the latest messages.

Note: When requesting a designer change, the “Cash” Finance Partner option is available in the intended financing dropdown.

How to Move Multiple Design Requests to DNQ

Use the bulk action in “Scanifly Designs” to move multiple proposals in “Design Requested” status to DNQ at the same time.

Step 1: From the main menu, open “Scanifly Designs.” Under “Status,” select “Design Requested.”

Step 2: Select the checkboxes next to the proposals you want to move to DNQ.

Step 3: Click “Move to DNQ Stage.”

Note: The bulk selection option is available for proposals in the “Design Requested” status.

Note: All selected proposals will be moved to DNQ together when the bulk action is applied.

Real-World Example

💡 A sales rep creates a proposal but sends the system design to a designated designer instead of building the layout themselves. The designer reviews the project information and any uploaded documents, completes the design and marks the request as “Design Completed.”

The completed design syncs back to the proposal, where the sales rep can review it and continue building the customer’s proposal. If multiple duplicate design requests are still in “Design Requested” status, they can also be selected and moved to DNQ in bulk.

Pro Tips

  • Include complete project information: Provide accurate consumption information and any required documents or answers before submitting the design request.

  • Choose the appropriate designer: Review the available designer before sending the request. For Aurora workflows, the partner is assigned according to the Aurora Partner Office mapped to the selected Aurora user.

  • Use attachments for re-designs: Add supporting files when a re-design request needs additional context.

  • Use the design chat for questions: Sales reps and designers can communicate directly from the proposal and design request pages.

  • Review request statuses: Use the design request list to track which designs are requested, completed or need additional action.

  • Use bulk DNQ carefully: Confirm that all selected “Design Requested” proposals should be moved to DNQ before applying the bulk action.

Troubleshooting

Problem

Solution

“AI Assisted - Request Design” does not appear.

Confirm that your organization has access to the AI-Assisted design request workflow.

A designer is not available under “Choose Designer.”

Confirm that the applicable designer is available for the organization. For Aurora workflows, review the Aurora user and Partner Office mapping.

Electric or main panel document options do not appear.

Confirm that the document feature is enabled for your organization.

AI-Assisted questions do not appear.

Confirm that AI-Assisted questions are configured and enabled for the organization.

A completed design does not appear in the proposal.

Confirm that the designer updated the request to “Design Completed,” then return to the customer’s proposal and review the synced design.

The bulk-selection checkboxes do not appear in “Scanifly Designs.”

Confirm that the proposals are in the “Design Requested” status.

A proposal cannot be selected again after it is moved to DNQ.

Review the proposal status and determine whether a new design request is required before continuing.
