How to Use IL Shines E Sign in Proposals?

Why does this matter?

Illinois Shines disclosures require specific project information and must be completed as part of the approval process.

The IL Shines e-sign workflow lets you complete the required SREC calculation and sign the disclosure directly from the proposal. SubcontractorHub also pulls project information from the proposal and configured vendor forms, helping reduce manual data entry and keeping the disclosure connected to the project.

This makes the signing process easier to manage and gives your team a clear place to review the completed document.

What will you need?

Before using IL Shines e-sign in a proposal, make sure you have:

  • A customer with an Illinois project address

  • A completed proposal

  • The required SREC calculation information

  • Block Group

  • Block Program

  • Block Category

  • A configured IL Shines vendor

  • All required vendor form information completed

  • Access to SubHub Sign

Step-by-Step Instructions

Step 1: From the main menu, click “Customers”.

Step 2: Create a new customer by clicking “New Customer” or select an existing customer and create a proposal. If you create a new customer, make sure the proposal address is in Illinois.

Step 3: Select the preferred proposal and click “View Detail”.

Step 4: On the proposal detail page, make sure to complete the SREC calculation in order to sign the IL Shines Disclosure.

Step 5: To complete the SREC calculation, fill out the mandatory information (Block group, Block program, and Block category) and click “Calculate”.

Step 6: Once the calculations are done, click the “IL Shines Disclosure” button.

Note: In the case of Solrite, the IL Shines Disclosure button will be visible within the finance workflow.

Step 7: Click “Sign via SubHub Sign” to complete the disclosure signing.

Step 8: Once signed, you can check the document again. Go to the main menu and click “Document Manager”. Select “SubHub Sign Envelopes” from the dropdown.

Step 9: Find your signed envelope and click the “View Contract” icon.

Step 10: You will see all the important project details here, including customer information, project owner, approved vendor, and project installer. The information is pulled from the proposal first. If any details are missing in the proposal, they will be taken from the forms created for the selected vendor.

Real-life scenario

A solar sales rep creates a proposal for a homeowner in Illinois.

Before signing the IL Shines disclosure, the rep completes the required SREC calculation by entering the Block Group, Block Program, and Block Category. Once the calculation is complete, the IL Shines Disclosure button becomes available.

The rep selects Sign via SubHub Sign and completes the disclosure without leaving the proposal workflow.

After signing, the operations team can open Document Manager → SubHub Sign Envelopes to find the signed document and review the completed contract.

The document automatically uses information from the proposal, such as the customer, project owner, approved vendor, and installer. If any required information is missing from the proposal, SubcontractorHub uses the information configured for the selected vendor.

Pro tip

Complete the SREC calculation before trying to sign the disclosure.

Make sure the Block Group, Block Program, and Block Category are correct before clicking Calculate. Also review your vendor configuration beforehand so any missing project information can be pulled from the appropriate vendor form.

After signing, take a moment to open the completed contract and verify the key project details before sending it to the government.

Troubleshooting

I don't see the IL Shines Disclosure button

First, make sure the proposal address is in Illinois. Then check that the SREC calculation has been completed successfully.

For Solrite proposals, look for the disclosure option within the finance workflow.

I can't complete the SREC calculation

Check that all required fields are filled in:

  • Block Group

  • Block Program

  • Block Category

Then click Calculate again.

I can't sign the IL Shines disclosure

Make sure the SREC calculation is complete and the IL Shines vendor configuration is complete. Fill out required vendor fields before you can use the configuration.

The signed document is missing project information

Go to Document Manager → SubHub Sign Envelopes and open the signed contract.

Check the proposal first. Information is pulled from the proposal whenever available. If a required detail is missing, check the form configured for the selected IL Shines vendor.

The wrong vendor information appears

Check which vendor is selected for the proposal and review that vendor's IL Shines configuration. Make sure the vendor's required information is accurate and up to date.
