Route Optimization & Best-Fit Scheduling

How to use our Multi-Day Route Optimization and Best-Fit Scheduling tools inside of the Calendar page.

Use the Multi-Day Route Optimization tool to help your team be as efficient as possible, calculate drive time/distance, and add new appointments using Best-Fit scheduling.

Finding the Multi-Day Route Optimization Tool

First navigate to the Calendar page.

Here is what the Map and Calendar look like before routing:

Then choose the Clock in the top right corner of the page.

Choose Route To Optimize

That will open the Multi-Day Routing tool. To continue, select the Route/Technician who's schedule you'd like to route. Then choose Next.

Filters

Choose Start Date of Optimization, and End Date of Optimization.

Note: This sample will display 1 day of routing, but you can route up to a month. Our team recommends doing a week or two at a time to get the most accurate and fast results, the longer the time period the longer the routing tool needs to run.

Next, choose the Technician's Starting/Ending Point and their work day Start/End Times.

Finally, choose the tech's Work Days.

Prioritize Confirmed/Locked Work Orders

To prevent any appointments that are Locked or Confirmed from moving throughout the tech's schedule, the routing tool will work around these appointments if you check the box for Prioritize Confirmed/Locked.

Here is the Preview, it shows the before/after of optimization.

Routing also generates a list of any Work Orders that should be added to the Work Pool. This is because they would interrupt time preferences with other locations.

When you're satisfied with the layout choose Apply.

Note: This action cannot be reversed

Use Arrival Time Windows for Routing:

First, if you haven't set these up yet, follow along with this article:

When you have Arrival Time Windows ready to go follow these steps.

  1. Open the Work Order

  2. Choose the Schedule Tab

  3. Choose either Fixed Time Windows, or Relative Time Windows

  4. Save the Work Order.

Now when you are routing this job it will only place it within the Window you've chosen for it based on the Start Time.

Note: If you want this to go on continuously - you will have to edit the series following the same steps as above.

Using Best-Fit to add appointments to the Calendar

First, Edit the Work Order you would like to move. This could be in the Work Pool, or already on the Calendar.

Next Find the Schedule Tab.

From here, click on the dropdown inside of the red box.

Doing that will give you these options, choose the time frame you're looking for.

You can search all routes/technicians or you can select a specific schedule(s) you'd like to filter through.

As you can see - it puts the most efficient option first on the list.

Select the Best-Fit Option

Choose your preferred option either by clicking on the box, or by selecting More.

Choosing More brings you to the Best Fit Detail page. it highlights where the job will now fall on your technicians day and the location populates on the map.

When you like the placement of the job, choose Select Time Slot in the bottom right corner.

Make sure to Save the work order to confirm your changes.
