How To Access Document Triggers Document Templates

Why This Matters

Document Triggers make it easier to create, manage, and connect documents to the right contracts and workflows. Moving them into Document Manager gives users one central place to manage document configurations. The new template search also removes the need to manually enter Template IDs, helping reduce errors and making document mapping faster.

What You Need

  • Access to Document Manager

  • The appropriate Document Type

  • Required details such as Name, Job Type, State, and other applicable fields

  • A SubHub Template if you are using SubHub templates

  • A DocuSign template if you are not using SubHub Templates

  • The appropriate Property Type such as Residential, Commercial, or both

  • Canadian utilities enabled if you need to use utilities from Canada

Step by Step Instructions

Step 1

From the left navigation panel, select Document Manager.

Step 2

From the dropdown, choose Document Triggers.

Step 3

Click “+Add”.

Step 4

Select the preferred Document type from the dropdown.

Step 5

Fill out the mandatory information, including Document Type, Template, Name, Job Types, and Finance Types, and click “Save”.

Note: If any EPC organization is creating a document trigger, then the sales organizations assigned to the EPC organization will be available in the dropdown.

How to Add a Document Trigger using SubHub Templates

Now, with the new update, you can also add document triggers using the SubHub Templates.

Follow the steps below

Step 1

Navigate to SubHub Templates under the Document Manager tab.

Step 2

Select the contract for which you want to add a document trigger. Locate the Mapping icon (displayed as a horizontal arrow) and click on it.

Step 3

Select Add Trigger.

Step 4

In the new tab, choose the Document Type from the dropdown menu.

Step 5

Enter the required details, including Name, Job Type, State, and other applicable fields.

Note: Document triggers include a property type option with checkbox selections. You can select “Residential”, “Commercial”, or both from the dropdown menu. When “Commercial” is selected, only document templates related to commercial properties are used. When “Residential” is selected, only residential document templates are applied. Selecting both options applies document templates for both property types.

Note: You can also add Canadian utilities. Once you click the “Canada” checkbox, you will be able to see utilities from the Canadian region on the list.

Step 6

In the Template ID field:

  • Previously, users were required to manually enter the template ID.

  • With the new search functionality, you can now select the template directly from a dropdown list displaying contract names.

Step 7

If SubHub templates are not being used, you may select "DocuSign" by enabling the corresponding checkbox.

Step 8

Once all details have been entered, click "Save" to complete the process.

Real-Life Example

A solar company needs different contracts for residential and commercial projects across multiple states. Instead of manually entering Template IDs and managing document configurations from the database, the team can create a Document Trigger from Document Manager. They can select the property type, state, job type, utility, and contract directly from the available options. This ensures the appropriate document is automatically mapped to the right type of project.

Pro Tip

Use the Property Type and Canada filters carefully when setting up a Document Trigger. Selecting Residential will apply residential templates, while Commercial will apply commercial templates. You can select both when the trigger should support both property types. For Canadian projects, enable the Canada checkbox to access Canadian utilities.

Troubleshooting

  • Document Triggers not visible: Make sure you are accessing them through Document Manager > Document Triggers instead of the previous Document location.

  • Template not appearing: Check that the correct document type and other required fields have been selected. You can also verify that the template exists under SubHub Templates.

  • Incorrect templates being applied: Review the selected Property Type, State, Job Type, and Utility settings in the trigger.

  • Canadian utilities not showing: Make sure the Canada checkbox is enabled.

  • Template ID issue: You no longer need to manually enter the Template ID when using SubHub Templates. Use the template search dropdown to select the required contract.

  • Using DocuSign instead: Enable the DocuSign checkbox when SubHub Templates are not being used.
