Why Does it Matter?
When a user leaves the organization or no longer needs access, their leads and customers still need to be managed. Reassigning them to another user ensures that important records are not left unattended and the sales process can continue without interruption.
What You’ll Need
Access to Users and Roles.
Permission to manage user accounts.
The user you want to disable.
Another active user to whom the leads and customers can be reassigned.
Step by Step Instructions
Step 1: From the main menu, click “Users and Roles” and select “Users” from the dropdown.
Step 2: Select the preferred user from the list and click the “Edit” icon beside the Enabled status.
Step 3: Click “Disabled” on the dropdown.
Step 4: Click the “Reassign To” dropdown and select the preferred user from the list.
Step 5: Click “Reassign and Disable” to save the changes.
Step 6: Once the changes are saved, you will see the status of the user changed to Disabled.
Pro Tip
Before disabling a user, choose someone who is actively managing similar leads or customers. This helps maintain ownership and makes the transition smoother.
Real-World Example
A sales representative leaves the company while still owning several leads and customers. Instead of leaving those records assigned to a disabled user, you can select another sales representative from the Reassign To dropdown. The leads and customers are reassigned, and the original user is disabled at the same time.
Troubleshooting
Can’t find the user? Check that you are looking under Users and Roles > Users.
Can’t select a user for reassignment? Make sure the user you want to assign the records to is active and available.
Is the user still showing as enabled? Make sure you clicked Reassign and Disable to save the changes.
Were records not reassigned as expected? Verify that the correct user was selected in the Reassign To dropdown before saving.
