How to Set Up a Recurring Report Using Repeat Cycle

Why Does It Matter?

The Repeat Cycle option in the Reports module lets you generate recurring reports using a defined date range. Instead of manually creating reports for each new period, you can enable Repeat Cycle to automatically advance the date range for subsequent reporting intervals.

The report retains its existing logic, filters, and naming conventions, helping you maintain consistent reporting across consecutive periods.

What You’ll Need

  • Access to the Reports module.

  • Permission to create and configure reports.

  • The report type, columns, and date range you want to use.

Step-by-Step Instructions

Step 1: Open Reports

  • Go to “Reports & Dashboard”, then "Reports" from the main menu.

Step 2: Create a New Report

  • Click "New Report".

Step 3: Enter Report Details

  • Enter a name for the report.

  • Select the required report type.

  • Click "Done".

Step 4: Select Report Columns

  • Select the columns you want to include in the report.

Step 5: Add a Filter

  • Add “Created” as a filter.

Step 6: Select the Date Range Operator

  • Select "Range" as the operator for the "Created" filter.

Step 7: Set the Date Range

  • Select the start date and end date for the report.

Step 8: Enable Repeat Cycle

  • Turn on the "Repeat as Cycle" option for the date range filter.

  • Click "Apply" to apply the filter settings.

How Repeat Cycle Works?

When Repeat Cycle is enabled, the system uses the configured date range to generate subsequent reporting intervals while preserving the report's existing filters and logic.

Example:

Suppose you configure a report with the following date range:

  • Initial reporting period: October 1–5

  • Next reporting period: October 6–10

  • Following reporting period: October 11–15

The system advances the date range to the next sequential interval, maintaining the same five-day reporting window in this example.

Note: The subsequent date ranges depend on the configured reporting interval and date gap. Verify the generated periods to ensure they match your reporting requirements.

Pro Tip

Choose a date range that matches your reporting frequency before enabling Repeat Cycle. For example, use a seven-day range for weekly reporting or a five-day range for a five-day reporting window.

Real-World Example

A sales manager wants to review newly created projects in consecutive five-day periods. They create a report using the "Created" filter, set the date range to October 1–5, and enable "Repeat as Cycle".

The system can then generate subsequent reporting periods, such as October 6–10 and October 11–15, while retaining the report's existing criteria. This makes it easier to compare project creation activity across reporting periods without rebuilding the report each time.

Troubleshooting

Issue

Solution

Repeat Cycle is not available

Confirm that you have selected the "Created" filter and the "Range" operator for the date range.

The report is using the wrong dates

Review the initial start and end dates before applying the filter.

Subsequent reporting periods are unexpected

Check the configured date range and the interval gaps used to advance subsequent periods.

The report criteria are not as expected

Review the selected columns, filters, and report type to confirm that the report is configured correctly.
