How to onboard a new organization?

Why This Matters

The new onboarding flow keeps all the information needed to set up an organization in one place. It also gives the sales team a clearer view of the organization’s expected value, current tools, revenue, and business needs before onboarding is completed.

What You’ll Need

Before starting the onboarding process, have the following information ready:

  • Organization and contact details

  • Products and platforms the organization needs

  • Lead source and referral information

  • Expected number of users

  • Estimated monthly proposals and projects

  • Annual revenue

  • Current CRM and proposal tools

  • Competitors and finance partners

  • License and insurance details

  • Material information

  • Required organization documents

  • Integrations the organization needs

Step-by-step Instructions

Step 1: From the main menu, click “Organization”.

Step 2: Click “Onboard Organization”.

Step 3: Fill out the important info including Products, Platforms, Lead Source, Lead Sub Source, Referral Name, Expected Users, Estimated Monthly proposals, and Estimated Monthly Projects.

Step 4: Scroll down and fill out Annual Revenue, Current CRM Tool, Current proposal Tool, Competitor, Finance Partners, and Estimated Annual Account Value.

Note: Estimated annual account value will be auto calculated using a formula that contains estimated monthly projects and platform details.

If seamless org is checked, then projects and estimated monthly projects will not factor into the calculation.

Step 5: Go to the organization info tab and fill out status, sub status, plan, name of the organization, and set your theme.

Step 6: In the contact information tab, provide contact information and decision maker details. Click “Next”.

Step 7: Under the Compliance tab, provide the license information and insurance details. Click “Next”.

Step 8: Under Manage Data tab, provide information related to materials. Click “Next”.

Step 9: Upload all important documents in the next step and click “Next”.

Step 10: Select the integrations you want for your organization in the next step and click “Mark as Done”.

Real-Life Scenario

A sales team is onboarding a new roofing company. During onboarding, they enter the company's expected users, monthly proposals, projects, annual revenue, current CRM, proposal tool, and finance partners.

The Estimated Annual Account Value is calculated automatically based on the information provided. The team then adds compliance details, uploads the required documents, selects the needed integrations, and completes the onboarding without having to update these details in multiple places.

Pro Tips

  • Have all organization and compliance information ready before starting the onboarding process.

  • Double-check Estimated Monthly Proposals and Estimated Monthly Projects, as these can affect the Estimated Annual Account Value.

  • If the organization is a Seamless Org, make sure the Seamless option is selected so the account value is calculated correctly.

  • Review the sales information before moving to the next tabs.

  • Upload all required documents before marking the organization as done.

  • Select only the integrations the organization actually needs to keep the setup clean.

Troubleshooting

Estimated Annual Account Value looks incorrect.

Review the Platform, Estimated Monthly Proposals, and Estimated Monthly Projects fields. If the organization is a Seamless Org, confirm that the Seamless Org option is selected because projects and estimated monthly projects are excluded from the calculation.

I cannot complete the onboarding.

Make sure all mandatory information has been entered, especially the required fields in the Sales Info tab.

I cannot find Sales Info under Organization Details.

Sales Info is now part of the Onboard Organization flow. Go to Organization → Onboard Organization to access it.

The organization's integrations are not set up.

Go to the final onboarding step, select the required integrations, and click Mark as Done.

I need to update information after moving through the tabs.

Use the appropriate onboarding tab to review and update the information before completing the onboarding process.
