Deleting or replacing a mailbox: timing and changing the address

When mailbox deletions take effect, how scheduled cancellations free up slots, and how to change a mailbox address (alias), including the Google Workspace billing-period rule.

This guide explains what happens when you delete or replace a mailbox, when those changes take effect, and how to change the address (the part before the @) on an existing mailbox. If you only want to change the sender's first and last name, that's a separate, quick change — just contact us and we can update it without recreating the mailbox.

Deleting a mailbox now vs. on a scheduled date

If a mailbox is scheduled for cancellation on a future date, you don't have to wait — you can delete it right away if you'd prefer. Just keep in mind that deleting a mailbox is permanent, and any sending history on it is lost.

  • A mailbox you cancel keeps working until the end of the current billing period, then its slot frees up.

  • Once a slot frees up, you can create a new mailbox in its place within your existing plan.

  • If your goal is to stop being billed, make sure the cancellation is in place before your renewal date.

Changing a mailbox address (alias)

The alias is the part before the @ (for example, the john in john@yourdomain.com). It can't be edited in place — changing it means removing the mailbox and creating a new one with the address you want.

  • SMTP mailboxes: delete the mailbox, then recreate it with the new address using Add More Email Accounts.

  • Google Workspace mailboxes: the address can't be changed during the current billing period. The mailbox needs to reach the end of its billing period first, and then you can create a new one with the address you want.

Warm up replacement mailboxes before sending

Any mailbox you recreate is treated as brand new, so plan on warming it up for about 10 to 14 days before you send real outreach from it. Starting slowly protects your deliverability.
