This guide demonstrates how to import a General Ledger (GL) report file into QuickBooks Desktop as a journal entry using the Transaction Pro Importer tool. Following these steps helps you efficiently transfer financial data, saving time and reducing manual entry errors. You will need your exported GL report file (in CSV format) and access to QuickBooks Desktop with the Transaction Pro Importer add-in installed.
Prerequisites:
GL Export created from Hauler Hero
Quickbooks desktop company is open
Transaction Pro is open
From the Transaction Pro main screen, click the Import button to launch the import wizard.
Click the Browse button to navigate to and select your GL report file.
Select Journal Entry from the Import Type dropdown menu.
Ensure the field delimiter is set to Comma and the record delimiter is set to CRLF, then click Next.
Review the file contents preview and click Next.
On the mapping screen, match the columns from your import file to the correct QuickBooks Fields. Key fields to map include Transaction Date, Account, and Debit or Credit.
Optionally, you can enter a static value, such as "HH Import," in the Memo field to easily identify these transactions later. Click Next.
Click Yes to save your mapping for future imports. Review the final data preview grid and click Next.
Click Finish on the QuickBooks Item Settings screen.
Click OK in the confirmation pop-up to begin the transfer to QuickBooks.
The process is complete when the status in the wizard window changes to Import Completed.
Summary
This article provides a step-by-step walkthrough for importing a GL report into QuickBooks Desktop. By using the Transaction Pro Importer tool, you can create a journal entry from an external file, ensuring your financial records are updated quickly and accurately without the need for manual data entry.
Hauler Hero currently offers a flat file integration with Quickbooks. A flat file integration is an automated file exchange — one system sends a data file, the other loads it — but it’s not a live sync between two softwares.
