Voice AI — Writing the "About Your Business" Knowledge Base
The About your business field in Settings > Voice AI is how you teach the AI about your company. When a caller asks a question — "Do you treat termites?" or "How much is a general pest treatment?" — the AI looks here for the answer.
Write plain facts. Do not write instructions or commands. The AI already knows how to greet callers, ask questions, and take messages. You are just giving it the information it needs to answer questions accurately.
You have up to 4,000 characters. You do not need to use all of them. Start with the basics and add more over time as you notice callers asking questions the AI cannot answer.
What to Include
Company name and location. The AI uses this to confirm the caller reached the right business.
Services you offer. List each service with a brief description. If you do not offer something, say so — the AI will not guess.
Pricing. Include price ranges or starting prices. If pricing depends on a site visit, say that. The AI will tell the caller you need to see the property before quoting.
Business hours. Days and times you are open. The AI uses your configured business hours for scheduling decisions, but listing them here lets it answer "What are your hours?" naturally.
Service area. Cities, counties, or zip codes you cover. If a caller is outside your area, the AI can let them know.
Common pests. List the pests you treat. This helps the AI confirm you can help when a caller describes their problem.
Policies. Cancellation policy, guarantee or warranty details, what to expect on the first visit, preparation instructions.
Frequently asked questions. Anything your office staff answers repeatedly — "Are your products safe for pets?" or "Do I need to leave the house during treatment?"

Below is a sample for a fictional pest control company. Copy it, replace the details with your own, and paste it into the About Your Business field.

Pricing notes:
First-time customers receive a free initial inspection for general pest and termite.
We offer a 10% senior discount and a 10% military discount. These cannot be combined.
We accept cash, check, and all major credit cards.
We offer autopay for quarterly and monthly service plans.
Guarantee: If pests return between scheduled treatments, we come back at no charge. Call us and we will schedule a re-service within 48 hours.
Preparation for service:
General pest: No preparation needed. Pets should be kept away from treated areas for 30 minutes after service.
Termite: We will explain preparation when we schedule the treatment. Typically no need to leave the home for bait station installation.
Bed bug heat treatment: We will send detailed preparation instructions by email when the treatment is booked. You will need to leave the home for 6 to 8 hours.
Pet and child safety: All products we use are EPA-registered and applied according to label directions. Our general pest treatments are safe for pets and children once dry, usually within 30 minutes. We use pet-safe bait stations for rodent control.
Licensing: We are licensed by the state of Illinois. License number 1234566.
Common questions:
Do I need to be home? Not for exterior-only treatments. For interior treatments, someone 18 or older needs to be present or you can leave a key.
How long does a treatment take? General pest service takes about 20 to 30 minutes. Termite inspections take 45 minutes to an hour.
Do you offer one-time treatments? Yes, but we recommend quarterly service for the best long-term results.
What if it rains after my treatment? Our products are rain-resistant once dry. If it rains during your treatment, we will reschedule at no charge.
Tips
Keep it factual. Write "General pest starts at $45" not "Tell the caller the price is $45." The AI knows how to relay information — you just provide the facts.
Update it when things change. If you adjust pricing, add a new service, or change your hours, update this field. The AI will start using the new information immediately.
Listen to call recordings. If you hear the AI say "I'm not sure about that" or "I don't have that information," it means you need to add that fact to your business knowledge.
Do not include sensitive information. Do not put passwords, internal procedures, employee personal information, or anything you would not want a caller to hear.
Be specific about what you do NOT do. If you do not offer fumigation, say so. This prevents the AI from guessing or making promises you cannot keep.
